Job Overview
Emeritus Home Care is seeking a dedicated and proactive Administrative/HR Specialist to join our team! This role plays a crucial part in managing staff schedules, ensuring smooth daily operations, and supporting our caregivers and clients. We are looking for someone with strong organizational skills, excellent communication, and a problem-solving mindset who can adapt quickly to the dynamic needs of our office.
Key Responsibilities
Scheduling & Staff Coordination
- Develop and manage caregiver schedules, ensuring proper coverage for all clients.
- Respond promptly to scheduling changes, caregiver call-offs, and client requests.
- Communicate effectively with clients, caregivers, and case managers to provide real-time scheduling updates.
- Track caregiver availability, preferences, and work hours to optimize efficiency.
Client and Staff Issue Resolution
- Address and resolve client concerns while escalating critical issues as needed.
- Mediate and handle day-to-day scheduling conflicts and staffing issues.
- Communicate any service updates, schedule changes, or concerns to clients and caregivers professionally and clearly.
HR & Employee Relations
- Assist in onboarding new employees, ensuring they receive necessary training, policies, and schedules.
- Serve as a point of contact for caregivers, answering questions about policies, schedules, and procedures.
- Support caregiver retention by fostering a positive work environment and promptly addressing concerns.
- Maintain accurate staff records, including certifications, work preferences, and performance notes.
Administrative Support and Office Efficiency
- Maintain accurate documentation and records, ensuring compliance with company and state regulations.
- Perform data entry, track schedules, and update spreadsheets regularly.
- Assist with general office duties such as filing, answering phone calls, and coordinating meetings.
- Monitor and manage office supplies to ensure smooth daily operations.
Process Improvement & Problem Solving
- Work independently to complete daily and weekly tasks, managing time efficiently in a fast-paced environment.
- Prioritize tasks effectively to ensure that client and business needs are met in a timely manner.
- Address issues proactively and find solutions that align with agency goals.
General Office Duties
- Maintain a clean and organized workspace, assisting with inventory and office supplies as needed.
- Coordinate with other team members to plan meetings and support company events and trainings.
Requirements:
- Education: High School Diploma or GED required.
Experience:
- Minimum of 1 year in an administrative, HR, or scheduling role, preferably in a healthcare or home care setting.
- Familiarity with Google Workspace (Sheets, Docs, Gmail, Calendar) and scheduling software is a plus.
- Excellent written and verbal communication skills, with the ability to communicate professionally in English.
Skills:

- Excellent communication and interpersonal skills—able to communicate professionally with caregivers, clients, and management.
