Position Title: Business Office

The Imaging Center has 2 locations, Emerson Road Imaging Center located at 633 Emerson Road, Ste #30, St. Louis, MO 63141. Wentzville Imaging Center locate at 972 Wentzville Parkway, Wentzville, MO 63385. Wentzville is open from 8:30am to 5:00pm, M – F. Emerson is open from 7:00am to 5:00pm, M – F.

Job Duties:

  • Directly assists with enforcing and updating all Center policies and procedures.

Communication and Interpersonal Skills:

Job Duties and Responsibilities:

Ø Opens or closes facility, examples of tasks are the following: checks answering machine for messages, turn on front desk computers, call answering service if applicable, disperse messages, make coffee, prepare lobby.

Ø Telephone operator for facility: routes incoming calls correctly and takes accurate messages when unable to connect caller to requested party.

Ø Greets patients and visitors upon arrival.

Ø Provides necessary paperwork for registering patients. Obtains all required patient signatures (consents, insurance filing, etc.) and correctly enter registration information into computer.

Ø Collects patient co-payments and deductibles as indicated.

Ø Notifies appropriate staff that patient is present, as well as communicating any relevant information.

Ø Ensures that all visitors/representatives have appropriate badges, signed confidentially statement, and do not interfere with patient care or confidentiality.

Ø Maintains the facility’s medical records and is responsible for their accuracy, safety, and confidentiality.

o Performs collection, processing, filing, maintenance, storage, retrieval, and distribution of medical records according to facility policies and procedures.

o Collects and files in medical record all laboratory, pathology, electrocardiogram, and x-ray reports received.

o Handles collection, response, and final filing in medical record of all appropriate correspondence.

o Arranges all chart forms, correspondence reports (e.g., operative, lab, electrocardiogram, x-ray, pathology, etc.) in appropriate order per facility policy/procedure.

o Marks and obtains all necessary signatures to complete chart, including contacting physicians’ offices regarding necessary signatures/reports.

o Obtains all missing chart contents needed to complete medical record.

o Maintains a filing system that meets facility requirements for medical records.

o Adheres to established procedures for cross-referencing and indexing medical records.

o Maintains necessary index references for facility needs and following established procedures.

o Develops and maintains an organized storage system for timely retrieval of individual medical records.

o Maintains confidentiality, security, and physical safety of facility medical records.

o Adheres to medico-legal requirements when answering correspondence and inquiries.

o Maintains and controls the release of information to authorized persons only. ______

o Prepares records or correspondence according to facility needs.

Ø Verifies insurance benefits and obtains necessary information as needed.

o Verifies all insurance coverage, workers compensation insurance, accident insurance, and state programs and determines patients responsibility if applicable.

o Obtains precertification number from physicians office if applicable.

o Determines patient qualification for coverage by payer and informs financial counselor, patient, or family member of status.

o Maintains current list of facility insurance contracts and payment schedules.

o Documents prequalification for insurance before date of scheduled admission.

o Maintains current information on correct and lawful practices for billing government and private payers.

o Follows all federal, state, and regulatory guidelines to maintain compliance.

o Enters all insurance information into computer.

o Ensures that patient financial counselor is aware of any copayments, deductibles, etc.

o Performs case-costing analysis and reports any potential losses to Administrator.

Ø Check in/out charts from off-site storage/electronic scanning if applicable.

Ø Performs scheduling duties as needed.

o Schedules all procedures to be performed in the facility.

o Follows scheduling form to obtain all necessary patient demographic, health, and insurance information from physician’s office.

o Considers priorities and patient/equipment special needs when scheduling appointments and surgical procedures.

o Follows procedures for notification of changes in the schedule.

o For new patients assigns medical record number, enters all demographics and insurance information into computer.

o For repeat patients makes any necessary changes in demographic or insurance information in computer.

Ø Verify the patient has received information regarding patient rights and responsibilities, advance directives, physician financial interest, and grievance process.

Ø Responsible for incoming cash, checks, and credit card receipts:

o Stamps the back of each check with deposit stamp at time of receipt.

o Makes copes of all checks and EOBs received in mail, credit card slips, and cash deposit received from patients.

o Separate EOBs from checks and attaches original EOB to copy.

o Issues appropriate duplicate receipts when receiving payments by cash or check directly from patients.

o Verifies credit cards if used and issues appropriate duplicate receipts.

o Posts all checks, credit card slips, and cash received to payments-received log, showing type of payment separately.

o If there are separate billing accounts (facility, anesthesia, physicians) sorts and posts each to separate payments-received log.

o Balance log to cash/checks/credit card payments.

o Completes deposit log for patient and insurance payments.

o Completes separate deposit log for other types of payments if applicable (refund, overpayments etc.).

o If there are separate billing accounts, sorts and posts each to separate deposit logs.

o Balances deposit log to payments received log less credit card payments.

Ø Supports the facility ideology, mission, goals and objectives. Performs in accordance with the facility policies and procedures, i.e. communication, financial practices, compliant program, performance improvement program, safety/risk-management program, professional competence.

Ø Cooperative work attitude toward co-employees, management, patients, visitors, and physicians.

Ø Ability to promote favorable facility image with physicians, patients, insurance companies, and general public.

Ø Ability to make decisions, problem solve, job accuracy, attention to detail, timeliness, organization, dependable attendance, punctuality.

Ø Ability to sit, stand, walk, visual and auditory acuity for frequent use of computer and telephone and occasional us of other office equipment.

Ø Performs other miscellaneous office/clerical duties as needed.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
