Position: EmmUcare is hiring for a part-time 'Receptionist' for Monday - Friday 8:30am-12:30pm to join our team! Weekends and holidays off!

Key Responsibilities: Manage front desk duties, including answering the phone calls, greeting visitors, and handling clerical tasks. Helping with medical supply store, Well Recieved and Call Dashboard. A receptionist plays a key role in managing the front office and providing a positive first impression to clients, visitors, and employees. Here are the typical responsibilities of a receptionist:

Front Desk Management

  • Greeting Visitors: Welcome visitors warmly and assist them with inquiries or direct them to the appropriate person or department.
  • Answering Calls: Manage incoming phone calls, route them to the correct individuals, and take messages when necessary.
  • Managing Appointments: Schedule, reschedule, and cancel appointments as needed, and maintain the appointment calendar.

Administrative Support

  • Mail and Deliveries: Sort and distribute incoming mail, and manage outgoing mail and packages.
  • Documentation: Maintain and organize office files, documents, and records.
  • Office Supplies: Monitor and manage office supplies inventory, and place orders when supplies are low.

Communication

  • Correspondence: Draft, format, and send emails, letters, and other correspondence.
  • Announcements: Relay important information and announcements to employees and visitors.

Customer Service

  • Client Assistance: Assist clients and visitors with their needs, answer questions, and provide information about the company and its services.
  • Problem Resolution: Address and resolve any issues or complaints from visitors or clients.

Security

  • Access Control: Monitor and control access to the building, ensuring that only authorized individuals enter the premises.
  • Visitor Logs: Maintain a log of visitors, including their names, contact information, and purpose of visit.

Office Coordination

  • Meeting Room Management: Schedule and prepare meeting rooms, including setting up equipment and ensuring rooms are clean and organized.
  • Event Coordination: Assist with organizing and coordinating company events, meetings, and conferences.

Technology

  • Office Equipment: Operate and maintain office equipment, such as printers, copiers, and fax machines.
  • IT Support: Provide basic IT support, such as troubleshooting computer and phone issues or coordinating with IT support when necessary.

Record Keeping

  • Data Entry: Enter and update data in company databases and systems.
  • Filing: Maintain an organized filing system for both physical and electronic documents.

Financial Tasks

  • Invoice Processing: Assist with processing invoices, receipts, and other financial documents.
  • Petty Cash Management: Handle petty cash transactions and maintain accurate records.

Miscellaneous

  • Special Projects: Assist with special projects and tasks as assigned by management.
  • Professional Development: Stay updated on office procedures and company policies, and participate in relevant training sessions.

A receptionist needs excellent communication, organizational, and multitasking skills, along with a friendly and professional demeanor. Proficiency in office software and equipment is also essential.

Job Type: Part-time

Pay: $13.00 - $15.00 per hour

Expected hours: 40 per week
