Job Description

Job Title: Office Assistant/Bilingual

Pay Range: 17-20/HR

Summary: To perform secretarial duties to provide administrative and organizational support for the office by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned.

1. Answers multi-line telephone system, takes accurate messages, and screens and directs telephone calls for management in a professional manner.

2. Processes incoming and outgoing mail on a daily basis by operating a postage meter.

3. Composes, prepares, and proofreads correspondence, office memos, and reports on the computer and maintains confidentiality when required.

4. Designs and implements forms for use within the office by applying knowledge of software applications and updates as needed.

5. Creates and maintains proper response letters on the computer for various incoming correspondences.

6. Maintains files in an organized and accessible manner including updating information, purging files on a regular basis, and creating new filing systems as needed.

7. Provides administrative support for special projects to include research, compiling data, and preparation of summary reports based on results.

8. Maintains an organized office calendar and schedules meetings and appointments as needed.

9. Completes travel arrangements to include accommodation, transportation and a prepared itinerary.

10. Maintains a petty cash fund with the proper documentation, makes change as needed, and balances on a regular basis.

11. Verifies, calculates and processes payroll on a weekly basis.

12. Inventories and orders office supplies and equipment as directed.

13. Operates standard office equipment efficiently to include:

- multi-line telephone

- facsimile machine

- typewriter

- calculator

- computer with printer

- photocopy machine

14. Performs other related duties as assigned.

High School Diploma or Equivalent. Prior secretarial experience helpful.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
