BASIC FUNCTION:
Provide administrative and project management support to the Executive Director and program staff of the Department of Science, Technology and Innovation (NYSTAR).
WORK PERFORMED:
Provide administrative and project management support to the Division’s staff in executing NYSTAR innovation programs. Job responsibilities include, but are not limited to:
Project Management Tasks:
- Coordinate and support administrative activities for NYSTAR. These activities include:
- Reviewing input from program managers, gathering documentation and data for reporting, tracking of grants and maintaining retention and organization of related documents
- Manage the preparation and distribution of quarterly/annual program tracking and monitoring reports; collect and consolidate performance data; interface with internal and external stakeholders (as needed).
- Coordinate marketing activities including the maintenance of the NYSTAR website, social media profile and preparation of press releases, newsletters and events.
- Supporting and working closely with the Program Managers on other shared and related activities.
General Administrative Tasks:
- Schedule meetings, support calendar management, reserve space for meetings and team gatherings and reserve workspaces for visiting team members.
- Coordinate travel plans for Executive Director and Directors on NYSTAR team obtaining approval for travel and filing for reimbursement of related expenses; and assisting the expense team with any clearance issues for Travel Authorizations and Expense Reports.
- Draft bi-weekly team agenda for meetings including general tracking, updates and items/materials for discussion.
- Develop an understanding of the team’s programs as well as ESD operations and procedures.
- Assist NYSTAR team as needed with the coordination and preparation of presentation materials for the ESD Board of Directors, ESD senior management, and outside audiences and completing the checklist sign-off process amongst each of the needed departments.
- Handle departmental communications in a professional and courteous manner, responding to general inquiries, and directing information requests to the appropriate department or individual for further assistance.

MINIMUM REQUIREMENTS:
Education level required: Associate’s degree.
Experience required: 3 years of relevant experience, preferably in program management and working with startups / entrepreneurs. Excellent written and verbal communication skills. Strong organizational, problem-solving, and analytical skills. Demonstrated ability to effectively manage multiple tasks simultaneously, take initiative, and work independently.
Knowledge Required: Ability to work as part of a team with high level of customer service and coordinate multiple projects at the same time; Strong proficiency in MS Office Suite (MS Word, Excel, and PowerPoint). Excellent written and oral communication skills combined with a confident and positive business demeanor.
