Position Overview:
The Office Manager and Executive Assistant provides direct support to the CEO, requiring strong organizational, communication, and project management skills. This role involves both independent and collaborative work in a fast-paced, on-site environment.
Key Responsibilities:
As Executive Assistant to the CEO, you'll manage the CEO's calendar, coordinate meetings, handle receipts, plan travel and events, and prepare documents. You'll also act as a liaison, professionally representing the CEO in various interactions.
For the Chief of Staff, you'll assist with data entry, commission tracking, CRM updates, and SmartSheet management, as well as manage credit card transactions and assist with accounting tasks.
As Office Manager, you'll oversee general office duties, including greeting visitors, answering phones, managing mail and shipments, maintaining office cleanliness and supplies, and preparing materials for meetings. You'll also track office equipment and supplies, assist with carrier licensing, and help with team projects and company communications, including marketing and social media.
Qualifications:
The ideal candidate will have excellent interpersonal and problem-solving skills, with the ability to work well with internal and external stakeholders. Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment are essential. Candidates should be proficient in Microsoft Office (Excel, Word), QuickBooks, and internet research, with prior experience using office equipment. The ability to maintain strict confidentiality, anticipate deadlines, and work independently while adjusting to shifting priorities is crucial. Familiarity with Smartsheet is a plus

EDUCATION AND/OR EXPERIENCE:
- 2 years of experience in a supportive role in an office environment preferred
- Bachelor's degree or equivalent industry-related experience required
CERTIFICATES, LICENSES, REGISTRATION: Driver's License
