Position Description : We are currently looking for a dedicated and motivated individual to join our team as a full-time HR Office Assistant to support our daily operations. The perfect candidate has great attention to detail, excellent customer service skills, and a desire for professional growth. This is a stand-alone administrative support role that works closely with our Benefits, HR and Payroll Departments, performing a variety of routine clerical duties while providing excellent customer service to our clients and their employees. Typical responsibilities include answering phones and screening or routing calls, responding to inquiries via phone, in-person or via email, basic payroll processing, and benefit processing. Responsibilities :
Answering phones and greeting clients and employees as needed; routes calls to appropriate staff and / or taking and delivering messages. Processes, receives, sorts, and distributes a variety of correspondence, deliveries, and mail, including documents or physical checks for distribution and delivery. Processes weekly, biweekly, semi-monthly, monthly and off-cycle payrolls for assigned client list under the supervision of the Payroll Supervisor. Issues or reissues physical or replacement checks or direct deposits due to payroll errors or final discharge. Responds and complies with federal or state requests for employment information, including unemployment notices, wage verifications, garnishments or labor statistics for all clients and employees under the supervision of the Payroll Supervisor and / or HR Business Partner.Provides assistance with HRIS support queries in a timely manner for all clients and employees. Provides high-quality customer service to all clients and employees independently, efficiently, promptly, and professionally.Processes, reconciles or reviews a variety of routine reports, paperwork, invoices, forms, and / or other related tasks, such as monthly employer contribution reports, benefit invoices and COBRA self-payments, in a timely manner.Performs data entry and electronic filing tasks for confidential employee or departamental files, maintaining accurate employer and employee records. Performs employer and employee information maintenance in our HRIS, including accurately entering new hires, updating critial employment information such as job titles, pay rates, benefit coverage, tax withholdings, tracking leaves of absence, entering terminations, etc.Ensures proper processing of payroll deductions for benefits, charitable contributions, garnishments, loans, and other deductions. Resolves benefits and payroll discrepancies, maintaining open communication with all clients and employees.Works cooperatively with other team members.
Provides assistance with special projects, such as transferring or digitizing information from reports, files, and other documents into HRIS, electronic recordkeeping systems and databases. Performs other related support duties as assigned.
Requirements : High School Diploma or equivalent.At least two (2) years of experience Administrative, HR or Payroll support roles.Proficient with Microsoft Office Suite.Knowledge of HRIS systems or database maintenance is preferred.Knowledge of basic processes for Accounts Receivable / Accounts Payable, and Payroll is preferred.Desired Skills :
Ability to organize, set priorities, work independently, and complete multiple projects within established deadlines.
Strong analytical and problem-solving skills, ability to diagnose, resolve or escalate a critical issue.
Ability to maintain a high level of confidentiality and accuracy of electronic and paper files.
Basic mathematical skills.
Strong written and verbal communication skills.
Excellent attendance and punctuality required for switchboard and front desk duties.Work Environment and Physical Requirements : Work is generally performed in an office environment, with frequent interruptions. Frequent reaching, walking, standing, lifting, stooping, or carrying of materials may be required. Incumbents may be required to lift and carry up to 10 pounds.
