Job Description:
- Handles purchase requests, employee reimbursements, mileage reports, and vendor payments (both paper and online). Ensures proper paperwork, and approvals, and prepares monthly lease payments and Form 1099 filings.
- Reconciles corporate credit card statements, ensuring all charges are documented and approved, and prepares prepaid expense and insurance schedules for month-end reconciliation.
- Processes payroll through the HRIS/Payroll system, reviews timesheets, makes adjustments, and submits payroll.
- Imports payroll journal entries into the accounting system, reconciles totals, tracks employee PTO, and submits 401K contributions while maintaining related reports.
- Prepares and processes monthly invoices for funding agencies, medical insurance, and tuition fees. Manages payments and tuition balances, working with agencies and families to ensure timely collections.
- Codes, logs, and deposits incoming payments by cash, check, and EFT. Applies payments to accounts receivable invoices in the accounting system as needed.
- Prepares monthly journal entries for prepaid expenses and other month-end adjustments, including recording postage and ferry ticket expenses.
- Reconciles payroll and accounts payable data between HRIS, payroll systems, and accounting software. Ensures accuracy in all reconciliations and document processes as required.
- Maintains confidentiality of all records and financial information. Ensures compliance with internal and external policies, including proper approvals and documentation.
- Supports agency outreach and fundraising activities as needed, ensuring the credibility and visibility of the organization in the community. Completes other duties as assigned by the supervisor.
- Meet all programmatic requirements, including adherence to productivity goals, timelines, administrative reporting, and budget management.
- Ensure timely submission of all required reports to meet funding requirements set by state, county, and the Program/Clinical Director.
- Represent the organization positively when communicating with external parties, addressing community groups, and interpreting child development services.
- Coordinate or provide agency representation at community outreach activities and events.
- Collaborate with the Department of Education to ensure a smooth transition from IDEA Part C to Part B services.
- Ensure compliance with county, state, and federal regulations, including healthcare, medical insurance, and education policies.
- Act as a role model by demonstrating effective conflict resolution, professional behavior, and a healthy lifestyle.
- Assist with daily program and agency tasks as assigned.
- Attend staff meetings, case conferences, in-service trainings, and participate in fundraising and outreach events as required.
- Schedule client consultations, evaluations, and follow-up appointments for therapists and team members.
- Maintain confidentiality of client and agency records, adhering to privacy standards.
- Work collaboratively with team members, external agencies, and service providers, demonstrating professionalism in all interactions.
- Manage work independently, demonstrating strong organizational and time management skills to handle caseloads and responsibilities.
- Enter and correct client service data electronically, ensuring accuracy and addressing any discrepancies.
- Maintain organized client files, both paper and electronic, and conduct chart reviews to meet quality assurance and regulatory guidelines.
- Monitor service delivery to identify gaps and ensure annual family surveys are conducted for all receiving services.
- Apply problem-solving skills and common sense to carry out detailed instructions and resolve issues.
- Proficiently use Microsoft Office software, including Word, and manage electronic files on networking systems.
