Document Support Representative I
General Summary
The Document Support Representative I will perform a variety of Document Services functions including sorting and scanning correspondence, document indexing and mail equipment operation. This position will print and distribute system generated documents, mass mailings, materials for trainings and presentations and sort / distribute Post Office mail, inter-office mail and courier packages. This position will provide backup support to Document Support Representative I levels during short-staff and peak period.
Essential Duties and Responsibilities
- Scan and Index documents accurately and timely.
- Print, organize, assemble, and distribute systems generated documents and other materials within established deadlines.
- Sort and distribute inbound Post Office correspondence and courier packages.
- Process outbound mail.
- Manage electronic mail inboxes related to document indexing, claim kit requests, print requests, special and document handling requests.
- Deliver mail directly to the Post Office or to FedEx drop-off stations as needed.
- Record personal performance statistics through tracking applications and spreadsheets.
- Complete production and other department reports.
- Respond to internal and external customers, including but not limited to policyholders, health care providers, injured workers, attorneys, and agents / brokers.
- Provide guidance and recommendations to customers on document and mailroom services including cost effective delivery methods.
- Troubleshoot equipment malfunctions to determine cause and correct, if possible, place service calls and follow-up with IT personnel.
- Monitor inventory of mail supplies and maintain appropriate levels.
- Trace mail items and receipt of extended delivery schedules.
- Offer process improvement suggestions to manager on responsibilities that may be performed more effectively or efficiently.
- Act in accordance with policy, procedures, statues, and laws, as applicable.
- Other duties as assigned.

Work Environment
This position is required to be in-office full time with minimal travel to other office locations / meeting locations occasionally. This role potentially and will routinely use office equipment such as computers, phones, printers, and web conferencing technology as examples.
