Operations Associate

We are seeking motivated, entrepreneurial individuals to join our founding team. Empower Community School Team members must be dedicated to the mission of the school, including our goal to support the academic, social, and emotional development of students. Reports To: Director of Operations
Responsibilities:
- Assist in coordinating the onboarding process for new hires, ensuring all pre-employment paperwork is completed in a timely manner.
- Facilitate orientation sessions for new employees, ensuring they are introduced to company policies, culture, and procedures.
- Maintain accurate and up-to-date employee files and records (both physical and electronic).
- Ensure all HR-related documentation is compliant with legal and company standards.
- Assist in the organization and filing of HR documents, ensuring confidentiality and data security.
- Assist with day-to-day operations within the HR department, including data entry, scheduling meetings, and general administrative support
- Supports the day-to-day operations of the school, including transportation, food services, security, and other third-party contracts.
- Perform day-to-day accounting tasks, including accounts payable, accounts receivable, and payroll processing.
- Maintain accurate financial records and documentation in compliance with school policies and applicable laws and regulations.
- Facilitate purchasing and procurement processes by preparing purchase orders and ensuring proper documentation and authorization.
- Manage the school’s petty cash fund, ensuring proper usage and recording of transactions.
- Coordinate with vendors, suppliers, and banking institutions to ensure smooth financial operations.
- Provide secretarial support to the school administration, such as drafting and proofreading correspondence, managing schedules and appointments, coordinating meetings, and handling phone calls and emails.
- Maintain and update student and staff records in compliance with privacy laws and school procedures.
- Prepare reports and presentations using various software applications.
- Participate in regular professional development activities to stay updated on accounting principles, software, and administrative practices.
- Collaborate with other school staff members and contribute to a positive and supportive work environment.
- Perform other duties as assigned by the Director of Operations
Qualifications:
- BA/BS degree or graduate degree in Business, Accounting, or related field
- Experience managing and monitoring budgets of $1 million
- Experience with staffing processes and onboarding for new employees
- Knowledge of financial modeling
- Demonstrated ability to manage staff of 5 – 10 employees.
- Demonstrates good judgement, problem solving skills, and self-motivation
- Ability to work in an fast-paced, evolving environment
