Job Overview
We are seeking a dedicated and organized Client Coordinator to join our team. The ideal candidate will play a crucial role in ensuring smooth operations and excellent customer service. This position requires strong communication skills, attention to detail, good computer skills, and the ability to manage multiple tasks effectively. As a Client Coordinator, you will be responsible for maintaining client relationships, managing our patient/provider schedules, and supporting the overall administrative functions of our office.
Client Coordinator Responsibilities
- Work directly with patients via phone, email, or in person to schedule and adjust appointments.
- Provide accurate patient invoicing and collect payment.
- Perform some data entry tasks accurately and efficiently.
- Help maintain a clean and organized waiting room, and retail shelves.
- Provide clerical support including filing, document preparation, and office organization.
- Greet clients at the front desk with professionalism and courtesy.
- Maintain effective phone etiquette while handling incoming calls and inquiries.
- Assist in product ordering, and inventory accuracy.
- Assist in mass marketing such as email blasts and social media postings.
- Maintain constant knowledge in the services and products we offer.
- Maintain a professional appearance within the dress code.
Client Coordinator Skills
- Proficient in calendar management to ensure optimal scheduling.
- Strong organization and data entry skills with attention to detail.
- Experience in an office environment with front desk responsibilities.
- Effective phone etiquette to communicate clearly with clients and team members.
- Previous experience in marketing is a plus but not required.
Requirements and Qualifications
- High school diploma or equivalent; associate degree is a plus.
- Work experience in office setting customer service is a plus but willing to train.
- Flexible availability, including Thursdays until 7pm.
- Per-diem availability to cover full weeks when needed. (Mon - Thurs)
- Exceptional customer service skills.
- Willingness to learn.
- Knowledge in skincare products and cosmetics is a plus.
