We are looking for a proactive and detail-oriented Client Care Manager to join our team and help elevate our client experience to the next level.
Job Description:As the Client Care Manager, you will be the face of our clinic and the primary point of contact for our clients. Your role will involve managing leads and client relationships, ensuring a smooth experience from their first contact through the completion of their care and beyond, and supporting the overall efficiency of the clinic. This role requires a detail-oriented, people-focused individual who can manage multiple priorities and contribute to a positive clinic atmosphere with a strong focus on customer service.
Key Responsibilities:
- Customer Service: Provide a world class customer experience to all people that encounter our business. Ensure new clients feel welcome and informed, guiding them through intake forms, clinic policies, and setting expectations for their care.
- Client Engagement: Serve as the primary point of contact for clients, turn inquiries into paying clients, scheduling appointments, and providing information about our services.
- Scheduling & Coordination: Manage the clinic’s calendar, coordinating appointments between clients and practitioners to maximize efficiency and client satisfaction.
- Client Communication: Proactively communicate with clients about appointment reminders, follow-up care, and any changes to their schedule.
- Billing & Payments: Assist clients with understanding billing procedures, process payments, and handle insurance verifications or inquiries.
- Team Collaboration: Work closely with our physical therapists and Pilates instructors to ensure smooth communication and an exceptional client experience.
- Client Feedback: Collect and analyze client feedback, identifying opportunities to improve services and enhance the overall client experience.
Qualifications:
- Previous experience in a client care or customer service role, preferably in a healthcare or wellness setting.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- High level of empathy and a passion for helping people.
- Proficiency with scheduling software and electronic medical records (EMR) systems is a plus.
- Ability to work both independently and as part of a collaborative team.
- Positive, can-do attitude and a client-focused approach.
- Need to be comfortable talking about money and confident in the value of our services.
- A positive and professional demeanor that aligns with our clinic’s welcoming and supportive environment.
