Position Hours: Monday – Friday; 9:00am – 5:00pm
Reports To: Program Administrator
Employment: At-will
Hourly rate: $17-21.50 ; DOE
Job Summary
The Administrative Assistant for EMTS Academy is responsible for assisting the EMTS Academy team with all duties as assigned including but not limited to the below essential duties. The position has limited authority to exercise independent judgment and discretion within the scope of the job. This position reports to the Program Manager but will have delegated authority to work directly with each EMTS Academy team members.
Essential Duties
· Manage electronic filing systems, record information, send and update paperwork, maintain documents, such as student records, attendance, or other material
· Make copies of student paperwork or other printed material
· Create, maintain, and enter student and class information - data entry
· Assist with new student registration processes
· Request and respond to emails in a prompt manner
· Assist with priority tasks, clerical needs, and other duties as assigned
Knowledge, Skills, And Abilities
· Proficiency in various word-processing software, spreadsheets, databases, and web-based programs, including but not limited to: Microsoft Suite (Word, Excel, Outlook), Smartsheet, Dropbox, Daylite, Moodle, Wordpress, Pandadoc, Fisdap
· Excellent communication skills, verbal and written, including grammar and spelling
· Courteous telephone and office etiquette
· Provide excellent customer service and ability to work collaboratively with others as part of a work team
· Skill in organizing, prioritizing, and utilizing effective time management techniques to meet deadlines
· Learn new tasks and functions as directed by supervisor
· Strong work ethic with little or no supervision, personal initiative and follow through
· Advises organizational chain if there is an issue or concern that needs immediate attention
· Demonstrate good judgment, always maintaining confidentiality
· Adjust to changing priorities
Minimum Qualifications
· High School diploma or equivalent (Required)
· Proficiency in English, ability to read/write/speak fluently (Required)
· Reliable daily transportation (Required)
· Associates degree or higher (Preferred)
Experience
· At least 1 year experience as receptionist or office experience that included answering phone calls, data entry, and clerical duties (Required)
Licenses/Certifications
· Valid Texas Class C Driver's license
· CPR, EMT-B are a plus
Work Authorization
· United States (Required)
