Job Description :

We are seeking a highly organized and proactive Facility Coordinator to manage and oversee the routine maintenance and operations of our facility. The ideal candidate must be able to work independently and with minimal supervision. The candidate will be responsible for ensuring that our building and equipment are well-maintained, safe, and functioning efficiently. You will collaborate with various teams to address maintenance issues, perform regular inspections, and coordinate vendor services as needed.

Key Responsibilities :

Routine Maintenance :

Perform regular inspections of building systems and equipment (HVAC, plumbing, electrical, etc.).

Conduct preventative maintenance tasks to ensure equipment and systems are operating efficiently.

Diagnose and troubleshoot minor maintenance issues and resolve them in a timely manner.

Maintain a log of completed tasks and repairs.

Vendor Coordination :

Schedule and coordinate work with external contractors and service providers.

Obtain and manage quotes for maintenance, repairs, and upgrades.

Ensure all work is performed according to safety standards and specifications.

Facilities Management :

Monitor facility cleanliness and general upkeep, ensuring common areas and workspaces are maintained.

Oversee minor repairs (e.g., drywall, lighting, plumbing) or arrange for external services when necessary.

Ensure compliance with building codes, safety regulations, and company policies.

Ensure Conference Room set-ups are completed on a timely basis.

Inventory and Supplies Management :

Maintain inventory of maintenance supplies and materials.

Order and restock supplies as needed to support daily operations.

Security, Safety and Compliance :

Oversee on site security staff

Oversee the production of ID badges

Assist in the preparation for building inspections and safety audits.

Ensure all safety equipment (e.g., fire extinguishers, emergency exits) is operational and up to date.

Promote a culture of safety by reporting hazards and assisting with workplace safety initiatives.

Administrative Duties :

Maintain maintenance records, work orders, and related documentation.

Prepare and submit regular reports on the status of maintenance activities and facility conditions.

Must be able to respond to off hours events.

Qualifications :

High school diploma or equivalent (Associate's degree or trade certification is a plus).

Minimum of 2-3 years of experience in facility management, building maintenance, or related field.

Strong knowledge of building systems (HVAC, electrical, plumbing, etc.).

Excellent organizational and time management skills.

Ability to troubleshoot and resolve maintenance issues.

Strong communication skills and ability to work collaboratively with team members and external vendors.

Proficient in Microsoft Office and basic computer software for record-keeping and reporting.

Physical Requirements :

Ability to lift and carry up to 50 lbs.

Ability to climb ladders, bend, and kneel as necessary to perform maintenance tasks.

Ability to work in various environmental conditions, including outdoor spaces, as needed
