What is the role about?

Analytik Jena US, a company of the Endress Hauser Group, is looking for a Service Coordinator/ Specialist to work within the Service department and MA office, with the primary responsibility to provide direct Service support such as logging customer calls, obtain and process standard service contract sales related to the extended warranty options with customers, and to provide general support of service staff.

Which tasks will you perform?

  • Soliciting and procuring contract service sales related to extended warranties
  • Preparing quotations for extended warranties and processing related service contract documents for tenders
  • Processing Sales Orders against customer PO’s related to service contract sales for extended warranties within INFOR
  • Administrating annual service contract enrollments and renewals leveraging the CRM database
  • Work closely with the Site & Service director to monitor and assist with coordination of fulfillment for the obligated services related to all extended warranties sold
  • Input and coordinate non-contract service and parts orders
  • Create new case for customer support
  • Assist the Service Managers in FSE assignment, orders, and evaluation of customer status
  • Invoicing for customers for general service activities as well as for Contract management
  • Answering and directing incoming phone call and emails at AJ US East site
  • Backup to customer service sales at AJ US East site, specific to parts order quoting and order fulfillment
  • Backup for shipping & receiving at AJ US East site
  • Assistance with Office preparation for training, meetings, customer visits and open houses at AJ US east site
  • Assistance with General office needs including but not limited, maintaining office supplies, distributing incoming mail, record keeping, other, etc.

What do we expect from you?

You will have (required):

  • Aptitude for handling high-volume of customer and team contact, including sales and scheduling, through calls, email, & Teams
  • Must demonstrate aptitude for analysis and creative problem solving through professional collaboration with other departments to achieve customer satisfaction
  • Proficient with Outlook, Excel, PPT, Microsoft Word and ability to master CRM and ERP/MRP systems
  • Mental and emotional capacity to exercise good judgment, reasoning and common sense, possess critical thinking and problem skills and have strong attention to details and circumstances
  • Excellent written and verbal communication skills in English
  • Ability and willingness to work overtime when needed
