Summary:
We are seeking a detail-oriented professional to join our Operations team, focusing on finance and supply chain support. In this role, you will assist with invoicing, payment posting, sales tax reporting, and support revenue recognition and COGS calculations. You’ll also aid in vendor setup, accounts payable, and audit documentation.
Additionally, you will play a key role in supply chain management, including vendor onboarding, contract management, product catalog updates, and inventory tracking. This position requires strong financial acumen, attention to detail, and the ability to collaborate across departments to ensure smooth operations.
Primary Responsibilities:
- Financial Support
- Assist in invoicing, payment receipt/posting, and managing past due receivables.
- Help with sales tax calculations for quotes and quarterly sales tax reporting by state.
- Support revenue recognition and cost of goods sold (COGS) calculations.
- Aid in vendor setup in Dynamics and AP invoice approval.
- Assist in preparing and submitting documentation for audits and meeting with auditors.
- Supply Chain Support
- Support vendor onboarding, relationship management, and contract management.
- Assist in managing product catalogs, pricing, SKUs, BOMs, and kits.
- Help create/update purchase requisitions (PRs) and purchase orders (POs), and conduct the AFE process.
- Assist in managing virtual inventory, including IT assets, employee devices, LTE devices, and allocating inventory to projects.
- Assist in validating final project shipping costs for invoicing, and recording proof of delivery for equipment
- Administrative Support
- Overseeing general office administration and management, including but not limited to ordering office supplies and snacks, handling incoming and outgoing mail, conducting office inspections, and managing the procurement of office equipment.
- Prepare and organize documents, reports, and presentations for meetings.
- Handle correspondence, emails, and phone calls, ensuring timely responses and follow-ups.
Experience & Qualifications:
- Analytical Skills: Ability to analyze financial and supply chain data and make informed decisions.
- Detail-Oriented: High attention to detail in financial calculations, inventory management, and documentation.
- Communication Skills: Effective written and verbal communication skills for interacting with vendors, auditors, and internal teams.
- Technology Proficiency: Knowledge of financial systems (e.g., Dynamics) and other software tools for invoicing, inventory management, and reporting.
- Problem-Solving: Ability to troubleshoot and resolve discrepancies in financial records, purchase orders, or inventory.
