Who we are looking for...
We are seeking a Receptionist/Office Manager whose responsibilities include:
- Welcoming visitors by in person or on the telephone
- Answering or referring inquiries
- Ordering and maintaining office supplies
- Maintaining safe and clean reception.
- Maintain employees and department directories.
- Maintains security by following procedures.
- Offering administrative support across the organization.
- Coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
- This position will need to be able to deal with emergencies in a timely and effective manner.
- Scheduling/coordinating meetings internally and externally to the organization.
Skills Required:
- Answer telephones and transfer them to appropriate staff members.
- Welcomes visitors by greeting them, in person or on the telephone, answering or referring to inquiries.
- Maintains a safe and clean reception area by complying with procedures, rules, and regulations.
- Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Update calendars and scheduling meetings
- Direct visitors to the appropriate person and office
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort and distribute daily mail/deliveries via USPS, FedEx as well as courier services.
- Project folders set-up
Requirements
- Proven work experience as a Receptionist, Front Office Representative, office manager or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. conference room equipment & printers)
- Professional attitude and appearance
- Ability to be resourceful and proactive when issues arise
- Customer service attitude

- Ability to effectively present information and respond to questions.
- Strong written and verbal communication skills
