Responsibilities:

Financial

  • Work to reach revenue goals and meet expense budgets
    • Keep the community rent roll updated and accurate on a real time basis
    • Aid in managing the operating expense budget while minimizing necessary expense and eliminating unnecessary expense
      • Confirms that all expenses have a director approved invoice and that a receipt is obtained
      • Uploads the invoice and receipt in the Box expense folder and inputs in the operational expense budget
      • Enters invoices into QuickBooks
      • Makes daily deposits for resident payments
    • Assist in managing the payroll budget and team schedules
      • Verifies that team schedules are followed as approved by ownership
      • Works to minimize overtime and unnecessary labor expenses
    • Assists in collecting on accounts receivable and avoiding aging accounts
      • Participates in the collection efforts for the community
    • Responds to resident and family billing inquires
  • Reconciles monthly community credit card statements

 

 

Human Resources

  • Support the Executive Director and community leadership team throughout recruitment and hiring process of new team members
    • Work with department heads to identify open positions, notify Vice President of Human Resources of open position(s)
    • Screen applicants and interviews potential candidates, if appropriate
  • Assist in building and motivating a high-performing community team
    • Oversee new hire pre-employment process from start to finish
    • Initiate on-boarding in HR software and ensure all new hires complete the on-boarding process in a timely manner
    • Schedule new hire(s) for New Hire Orientation
    • Ensure that all new hires have a completed personnel file prior to start date in accordance with the company’s policies and procedures as well as federal, state, and local agencies
    • When needed, assist new team members in gaining access to HR software’s employee self-service (ESS) account and provide an overview of how to navigate thru ESS account
  • Personnel file compliance
    • Review and audit personnel files a minimum of one week after start date and quarterly
    • Assist with team member files to meet employer expectations and regulatory requirements
    • Keep all personnel records up to date in order to maintain compliance with all regulatory standards (i.e. CPR, 1st Aid, Food Handler’s Card, TB Test, Fingerprint Clearance Card, etc.)
      • Track certifications that have expiration dates to ensure compliance
    • Schedule CPR and 1st Aid classes at (when needed) to ensure all team members have a current CPR and 1st Aid card
  • Assist Executive Director and Vice President of Human Resources by overseeing departmental team schedules to ensure that they are completed two weeks prior to upcoming schedule,
    • Work with Executive Director when payroll budget to actual is over in order to reduce payroll expenses
  • Assist with team member relations and progressive counseling as needed
    • Forward all Counseling Reports to Executive Director to prior to review with team member
    • Forward all Termination Counseling Reports to Executive Director to review and then to Vice President of Human Resources for termination approval
  • Oversee worker’s compensation forms for the community to ensure Vice President of Human Resources has necessary paperwork within 24 hours of team member injury
    • Follow up with injured team member and/or urgent care to receive status updates – forward progress notes, physician office visits, etc. to Vice President of Human Resources
  • Act as the Human Resource contact at the community
    • Have a clear understanding of the Team Member Handbook and Benefits Guide to answer any questions that team members may have
  • Assists Vice President of Human Resources with team member benefits eligibility to ensure each team member receives the Benefits Guide and enrolls or declines benefit options thru his/her benefit portal

Qualifications


Required Qualifications

  • Associate or bachelor’s degree in Accounting, Business, Finance, or a related field and two (2) years of experience with business office functions; or an equivalent combination of education and experience
  • Working knowledge of general accounting, billing, collections, and expense management practices
  • Advanced computer skills, specifically with QuickBooks and Microsoft Office (Outlook, Word, and Excel)
  • Ability to multi-task and handle a fast-paced work environment in a friendly and professional manner
  • Demonstrate exemplary attitude, work ethic, and unwavering integrity
  • Contribute to an incredible customer service experience
  • Able to respond appropriately and quickly to the needs of the residents, team members, visitors, and vendors
  • Respond and appropriately handle emergency situations that may arise in a calm, professional and effective manner
  • Must be able to pass a criminal background check upon hire and as required by state regulations
