We seek a detailed-oriented and motivated HR Operations Specialist/Office Assistant. The ideal candidate will be experienced in general human resources and administrative duties and thrive in a dynamic, collaborative and energized environment. This position will report to the Associate Director, Human Resources and offers a unique opportunity to be a vital member of an organization dedicated to moving a novel gene therapy drug candidate into the clinic. This position will support Human Resources as well as partner with our Executive Assistant to provide the organization with office support. Responsibilities:
Human Resources responsibilities:
- Coordinate recruitment activities including scheduling interviews and debriefs and support onsite interviews
- Provide feedback about interactions with Ensoma candidates to the recruiting team to assist with hiring decisions
- Ensure new employees are ready to start on day one with their laptops, desk ready, and set up in applicable systems
- Oversee and ensure accuracy in all HR administrative tasks: Maintain our HRIS (Paycor), employee files, immigration paperwork, company organization charts (Organimi)
- Coordinate Ensoma’s co-op and internship programs
- Support payroll administration and data entry in collaboration with finance team
- Support all aspects of our benefit program: benefit enrollment, leave of absences, compliance and be the point of contact on all benefit questions
- Coordinate catering for weekly all-company lunches, interviews, events and meetings as needed
- Arrange meetings, A/V, and room setups for large meetings and company-wide events
- Maintain common areas, conference rooms, and office equipment
- Work alongside our Executive Assistant to:
- Provide leadership team with support in scheduling large cross functional group meetings
- Ensure coffee and office snacks are adequately stocked
- Provide back-up support for the Ensoma executive team with scheduling and coordination
- Validate parking
- Greet visitors at reception for meetings, interviews and other events
- Proactively supply office, kitchen, copier room, and other necessities
- Support company culture events and celebrations
- 2 years of experience in human resources
- Bachelor’s degree strongly preferred
- Experience utilizing technology such as Office Suite, specifically Outlook, SharePoint, PowerPoint HRIS and benefits administration platforms
- Ability to come onsite 4 days per week
- Prior experience maintaining strict confidentiality of sensitive employee information and HR-related matters, ensuring compliance
- Thrives in a fast-paced and innovative environment
- Has strong written and verbal communication skills
- Strong attention to detail – someone with excellent organizational skills and an aptitude to innovate our processes and systems
- A proactive and self-motivated individual who can work independently, while also being a team player who fosters collaboration
