Title: Front Desk Receptionist/Secretary
Employment Status: Part- Time/One Day a week
Hours: Tuesdays 8am-3pm
DESCRIPTION OF PRIMARY RESPONSIBILITIES:
1. Greets patient using the patient’s proper name, identifies self, escorts patient to exam room, and assists in preparation for exam; notifies patient when delays are anticipated;
2. Promotes a positive first and lasting impression by following customer service guidelines;
3. Takes telephone messages from patients and relays information to the physician; calls patient with treatment information as ordered by the physician;
4. Responsible for gathering patient insurance information, checking eligibility and attaining necessary documents for eligibility verification prior to patient's office visit;
5. Schedules surgery for patients when deemed appropriate by physician and ensures preauthorization documents are received prior to patient surgery date;
6. Accurately collets copays, outstanding balances, and charges for procedures performed in clinic and/or prior to surgery;
7. Instructs patient on tests, treatment, and procedures; schedules diagnostic tests for patient or assists patient in scheduling their own tests when ordered by physician. Actively participates in patient education, clarifying terms and explaining provided information;
8. Handles lab/x-ray reports, prescription refills and calls regarding medications as indicated by the physician, making sure the information is reported to the patient in a timely manner as ordered by the physician. Prepares, assists, and cleans instruments after basic procedures (I&D, skin biopsies, etc.); collects, properly labels specimens, and sends to the lab in a timely manner;
9. Manages the physician's schedule; notifies appropriate departments/sections of changes in the schedule of the physician, i.e., add-ons, cancellations and no-shows; notifies patient and appropriate staff in advance of unexpected delays and manages work-in appointments for the physician;
10. Keeps patient records and conversations confidential; maintains records in a neat and orderly fashion; ensures initial and follow-up treatments are completed; promptly answers all phone calls and documents conversations with patients;
11. Performs duties in a safe manner according to clinic policies and procedures; stays familiar with current safety information related to the work environment including OSHA and CLIA regulations;
12. Adheres to the dress code for clinical staff;
13. Promotes a good work ethic. Works as a team member, interacting with staff, patients and physician to communicate and coordinate effective patient flow. Takes initiative to ensure smooth clinical operations when team members are absent;
14. Courteously manages contacts (in person or by phone) and provides assistance to other team members always in a cheerful and courteous manner. When necessary, helps in other areas of the department or other departments within the same scope of work;
15. Maintains work area and exam rooms in a clean and orderly manner; maintains appropriate supply levels in the treatment rooms. May be assigned to order or assist with purchasing orders as well as coordinating level of supplies in the department;
16. Follows policies and procedures for requesting time off and calling in sick; reports to duty at appointed hour; notifies supervisor when overtime is anticipated;
17. Continually works to decrease stress level in working environment and makes contribution to improve communication between all levels of patient services. Leads by example;
18. Has regular and predictable attendance;
19. Performs other tasks as assigned by Supervisor/Director.
DESCRIPTION OF SECONDARY RESPONSIBILITIES:Medical receptionist should be ready to assume any position assigned by the physician. Assignments may require extended periods of time at an alternate section or may change within an eight-hour shift.Requirements
PERFORMANCE REQUIREMENTS:KNOWLEDGE, SKILLS, ABILITIES: Must be able to communicate clearly and effectively with patients, staff and physicians. Must be able to be flexible and work effectively, assisting other staff and the physician when necessary
EDUCATION AND EXPERIENCE: Must have High School Diploma or G.E.D.
