Job Summary:
Enterprise Electrical is a fast-growing Commercial Electrical Contractor specializing in Design-Build projects. Enterprise originated and based in Houston, TX, working in Greater Houston and Central Texas. We are looking to add an Administrative Assistant to our team. We are seeking a detail-oriented and organized Administrative Assistant to join our team and provide administrative support to our office operations. The Administrative Assistant will play a key role in assisting with various administrative tasks to ensure the smooth and efficient functioning of our office. The ideal candidate will have strong organizational skills, excellent communication abilities, and proficiency in office software applications.
Specific Responsibilities:
1. Office Management: Assist with general office management tasks, including answering phones, greeting visitors, managing mail and packages, and maintaining office supplies and equipment.
2. Calendar Management: Coordinate and manage calendars for executives and team members, schedule appointments, meetings, and conference calls, and assist with travel arrangements and accommodations as needed.
3. Document Management: Assist with document preparation, formatting, proofreading, and editing correspondence, reports, presentations, and other documents. Maintain organized electronic and physical filing systems for easy retrieval of documents.
4. Data Entry and Record Keeping: Perform data entry tasks to input and update information in databases, spreadsheets, and other systems. Maintain accurate and up-to-date records, including employee records, client information, and project documentation.
5. Correspondence and Communication: Draft, proofread, and edit emails, letters, memos, and other correspondence as needed. Coordinate communication between internal teams, external partners, clients, and vendors.
6. Meeting Support: Prepare meeting agendas, materials, and presentations, and assist with meeting coordination, set-up, and follow-up activities. Take meeting minutes and distribute them to attendees as necessary.
7. Special Projects: Assist with special projects and initiatives as assigned by management, including research, data analysis, and coordination of events or activities.
Skills and Qualification:
• High school diploma or equivalent; associate's degree or certification in office administration or related field preferred.
• Proven experience 4 years in an administrative support role, preferably in a fast-paced office environment.
• Strong organizational skills with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
• Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and experience with office equipment and software.
• Attention to detail and accuracy in performing administrative tasks, including data entry, document formatting, and record keeping.
• Ability to work independently with minimal supervision and collaborate effectively with team members and stakeholders.
• Commitment to confidentiality, integrity, and professionalism in handling sensitive information and office matters.
• Bilingual (English/Spanish) not required but preferred.
• Previous experience in construction related position not required but beneficial.
