SUMMARY OF POSITION RESPONSIBILITIES:
The Talent Acquisition Specialist is responsible for sourcing, screening, and onboarding qualified candidates to support the staffing needs of multiple companies managed by Enterprise Management. The position plays a key role in developing and maintaining recruitment pipelines for a variety of clinical, administrative, and service-oriented positions across industries.
This position involves close collaboration with department heads, HR staff, and hiring managers to ensure workforce needs are met in a timely and compliant manner. The Specialist contributes to strategic workforce planning efforts and helps drive process improvements within the talent acquisition function.
SCHEDULED DUTIES AND RESPONSIBILITIES:
- Post job openings and manage applicant tracking systems across multiple organizations
- Conduct phone screens, candidate assessments, and interview coordination with hiring teams
- Create and maintain candidate pools for high-volume, mission-critical roles (e.g., nurses, case managers, kitchen staff, facilities)
- Maintain weekly hiring activity reports and provide regular updates to HR leadership
- Draft and send offer letters, facilitate reference checks, and initiate background screenings
- Coordinate new hire onboarding and orientation in partnership with HR generalists
- Manage onboarding and offboarding processes for positions the Specialist recruits for, ensuring smooth transitions, exit documentation, and internal workflow completion
- Participate in employee orientation tasks as scheduled by the supervisor, including welcome sessions, systems onboarding, and policy briefings
- Attend and participate in regular HR and team meetings as scheduled by the supervisor
- Maintain a centralized list of approved staffing agencies and coordinate with them to support urgent or temporary staffing needs when in-house recruitment efforts are underway
- Advise the payroll unit of caseload assignment at onboarding for staff hired at HolBrock Estates Supportive Housing Programs, Community Wellness Outpatient Mental Health Center, Community Wellness Psychiatric Rehabilitation Program, Lighthouse Behavioral Health Center, and Freedom Healthcare
- Ensure payroll adds or removes new and terminated employees from master compensation sheets accordingly
- Based on position title, ensure the appropriate supervisor is assigned to new hires in Paycom
- Draft and issue all new hire offers/contracts based on job descriptions, budget, and role-specific guidelines
- Enroll all new hires into orientation by scheduling orientation dates and assigning a lifecycle liaison; document these assignments on the HR Dashboard Google Sheet and notify staff of changes
- Ensure all active job descriptions in Paycom with assigned position seats remain posted through a corresponding requisition at all times, even after the position is filled
- Sponsor Indeed ads only for vacant positions
- Screen all applicants daily with the goal of zero unscreened applicants at the end of each day; reject unqualified applicants and rate qualified applicants to build a strong candidate pool
- Ensure continuity of services during personal absences by designating ranking staff to assume responsibilities beyond normal non-working hours
- Respond to voicemails within 2 business hours
- Acknowledge email inquiries within 1 business hour; if outside scope, warmly transfer to appropriate team member
- Initiate resolution of intranet tickets within 4 business hours
- Represent Enterprise Management at job fairs, career events, and community outreach activities
- Maintain strong relationships with universities, training programs, licensing boards, and community partners
- Collaborate with compliance and credentialing staff to ensure all hires meet required qualifications
- Conduct workforce data analysis to monitor time-to-fill, turnover, and sourcing trends
- Recommend enhancements to recruitment platforms, outreach efforts, and employer branding strategies
- Assist the supervisor with any work-related tasks as requested

- Respond to applicant inquiries and ensure candidate experience standards are upheld
- Assist with temporary staffing agency coordination and contract tracking
- Participate in HR special projects such as policy rollouts or engagement campaigns

LEVEL OF EDUCATION / TRAINING / QUALIFICATIONS:
- 13 AIHR certifications
- SHRM certification
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred
- Minimum 2 years of recruiting or talent acquisition experience required
- Experience recruiting in healthcare, human services, or nonprofit settings strongly preferred
- Familiarity with labor laws and EEO/AA regulations a plus
