The Bookkeeper supports the Accounting Specialist and provides back up reception and office support including managing the gift certificate program, answering phone calls, and greeting visitors when the Executive Assistant is on PTO or lunch. The ideal team member will be proficient in QuickBooks Online, possess strong analytical skills, a broad knowledge of accounting principles, and have some accounting and financial experience.
Financial & Bookkeeping
- Reconcile cash accounts, receivables, and payables when the accounting specialist is unavailable.
- Ensure all entries have been posted to allow preparation of monthly financial statements.
- Assist in budget preparation as needed.
- Coding of payables/receivables.
- Review and process vendor invoices along with creating payments when accounting specialist is unavailable.
- Investigate and resolve problems associated with processing of invoices for our members.
- Record wire and ACH payments to vendors along with any payments automatically deducted from the bank account when accounting specialist is unavailable.
- Process and record credit card payments when the accounting specialist is unavailable.
- Monitor vendor aging reports for any past due amounts.
- 1099 maintenance and reporting.
- Process gift certificate sales, document gift certificate sales and receipts along with reconciliation of gift certificates.
- Process money and registration sheets after an event is over and send open invoices.
- New members: set-up new member billing in CRM, generate new member Invoice.
- Annually invoice membership dues for Envision programs.
- Prepare monthly billings and statements for memberships and events.
- Receive and post payments to member database when accounting specialist is unavailable.
- Participate in and coordinate annual audit with the accounting specialist.
- Must have the ability to multi-task.
Reception and Office Support
- Front desk backup for Executive Assistant/Office Manager
- Answer incoming phone calls, address general inquiries, greet visitors and guests.
- Sell gift certificates.

- Nonprofit experience is a plus.
Salary : $42,000 - $48,000
