Operations Specialist - RealmSpark
ASU RealmSpark, acts as the venture capital arm of ASU and invests in charter-aligned sectors. It finds the best technology on the market and brings it to the university. It also sources the most promising ASU-affiliated companies and brings them to market.
The Operations Specialist provides professional and administrative support to the Managing Director, RealmSpark and the greater RealmSpark team. The incumbent has meaningful exposure to many aspects of the business and must be able to routinely interact with individuals at all levels of ASU Enterprise Partners, the University, and external venture partners. The Operations Specialist will demonstrate the ability to take initiative, use sound judgment by taking appropriate actions, and consistently demonstrate the ability to respond to changing situations in a flexible manner to meet the current needs of the team.
What you'll do:
- Proactively identifies needs, analyzes problems, and makes recommendations for both the short-term and long-term efficient operations of the RealmSpark team
- Researches, summarizes, and analyzes information; compiles and interprets quantitative and qualitative data in reports
- Maintains and oversees databases relevant to RealmSpark operations to understand market trends and the competitive positioning of the University, making recommendations relevant to creating a pipeline for deal flow
- Responsible for ensuring data housed within respective data management/CRM systems (AirTable, Salesforce) is accurate and up to date
- Acts as the first point of contact for stakeholders interested in piloting projects and/or technologies in the EdTech space
- Leads and oversees all event planning efforts within RealmSpark; develops and executes in-person national event plans and strategies to attract investors and drive engagement and impact across all RealmSpark initiatives
- Supports scheduling of assigned staff, regularly prioritizing, and arranging meetings, conferences, travel reservations, and appointments
- Communicates arrangements to appropriate individuals and prepares background materials that can be shared with external audiences and volunteers
- Leads cross-functional communication efforts to facilitate collaboration amongst internal and external stakeholders; composes all manners of correspondence as necessary and on own initiative
- Independently researches and creates summary documents and reports in pursuit of generating solutions for the team
- Exercises good judgment and professional demeanor when communicating with external and internal constituents
- Prepares presentations, project task lists, reports, or other documents from rough draft or notes
- Maintains documentation relevant to RealmSpark internal policies and procedures, recommending process improvements as needed
- Participates in the oversight of business continuity and emergency planning for the RealmSpark team as appropriate
- Coordinates with other support staff to ensure efficiencies across all of ASU Enterprise Partners
- Mentors student employees, providing guidance pertaining to RealmSpark policies, priorities, and initiatives
- Partners with the Managing Director of RealmSpark on budget forecasting and budget reallocations, monitoring and reconciling the annual operating budget as needed
- Submits expense reports and reconciles monthly department credit card statements
- Partners with portfolio companies to create efficacy studies and marketing materials as needed
- Other duties as assigned

- Interest in venture development
Relevant qualifications:
- Bachelor’s degree
- One (1) year of directly related experience in business operations, project management, and/or business administration
Preferred education and experience:
Previous experience working in a start-up, not-for-profit, and/or higher education environment
