Job Overview
General Administrative and Office Management
- Provide supervision of secretary/receptionist, maintenance custodian, and contractors
- Provide administrative, purchasing, and clerical support to ministry staff
- Manage information technology needs and requirements
- Collaborate with the Archdiocese for required training of staff
- Maintain all forms of confidential information
- Site Coordinator for CMG Connect
Financial
1. Prepare and oversee the preparation of all bill payment, payroll, banking, tithing and tax related matters, as well as the overall financial recordkeeping for the parish
2. Prepare the annual parish budget with input from the Finance Council and the ultimate budget approval by the Pastoral Council
3. Work with the CPA to prepare monthly financial statements and present to the Pastor and Finance Council
4. Provide regular reporting of finances and information to the Finance Council and Pastoral Council, including preparation of financial statements and annual reports for both parishes
5. Identify opportunities for fiscal improvement for Pastor, Finance Council and Pastoral Council
6. Schedule and manage volunteers to count weekend collections
7. Oversee or prepare all bank reconciliation statements
8. Collaborate with the Archdiocese as needed in financial matters
9. Prepare the annual financial reports for Epiphany Parish, Sacred Heart Church and Sacred Heart cemetery for submission to the Archdiocese
10. Ensure proper checks and balances are in place for all funds coming into and going out of the parish
11. Coordinate and oversee all methods of giving to include ACH, bill pay and on-line contributions
Facility Management
- Oversee the scheduling of facility halls, classrooms and meeting rooms
- Maintain security of all property
- Coordinate and oversee all cleaning and upkeep of facilities
- Contact and coordinate vendors/contractors for facility/equipment repair and maintenance
Personnel Management
- In consultation with the Pastor, develop personnel policies, hiring and termination procedures for inclusion in the parish Employee Handbook and maintain employee job descriptions and employee files
- Coordinate human resources needs for present and new parish employees including benefits, insurance and required documentation
Committees
- Attend and maintain a support role in the Finance Council and Buildings & Grounds Committee
- Attend Pastoral Council meetings when requested
- Respond to the administrative and clerical needs of all committees
- Assist and help coordinate fundraising activities for Epiphany Parish to include, Parish Festival, Salad Luncheon, Fall Dinner, etc.
General
- Act as “point person” for inquiries on pastorate business and administrative matters; making appropriate referrals as needed
- Be a catalyst for good cooperation and business relationships among all parish entities, staff, committees, and parishioners
- Oversee the maintenance of the parish census
- Perform related duties and responsibilities as required per Pastor’s request
Qualifications
- Bachelor’s degree in business related field preferred
- Five or more years of experience in business management
- Previous supervisory experience
- Active participation in the work of the Catholic Church and ability to participate in the full sacramental life of the Church
- Uses computers and computer systems efficiently for communication, records, and record preparation
- Has a high level of communication skills both verbal and written with the Pastor, parish staff, parishioners, and the community
- Has a high level of integrity and sense of responsibility with regards to confidential information
- Foster the ministry of parish volunteers in various areas via invitation, screening, training and encouragement
Job Type: Full-time
Pay: $45,000.00 - $60,000.00 per year
