Mission:
At Epiroc USA LLC, our Parts and Services Division (PSD) provides a broad range of services to maximize customers’ productivity. We focus on spare parts supply, professional service, support solutions and training in the mining world.
Service Administrators play a critical role in supporting Service Centers by driving increased market share and profitability while minimizing costs through regional service administration support. They ensure the effective implementation of service administration processes and routines, deliver timely communication to internal and external customers, maintain and safeguard business documents, and provide assistance with customer service and training initiatives.
The work environment regularly involves an office setting environment with occasional exposure to moving mechanical parts, fumes, or airborne particles. Possibility of lifting up to 25 pounds may be required. Reasonable accommodations can be provided for individuals with disabilities to perform the essential functions of the job. The noise level is typically low to moderate. Personal Protection Equipment may be necessary when visiting service centers or customer mine sites. The role is designated as Safety Sensitive.
Responsibilities:
- Coordinate all administrative aspects of the service order process, including managing the work order lifecycle, creating and reconciling purchase orders, tracking Work In Progress (WIP), and ensuring timely invoicing of customers.
- Provide local troubleshooting support for service technicians, including time entry reconciliation in M3, and maintain accurate records for work orders, credits, and other relevant documents.
- Regularly update and manage training materials and business process reference documents.
- Assist in organizing technical training classes by managing logistics, preparing quotations, and supporting marketing materials.
- Support other business functions, such as preparing quotations, managing parts orders and receipts, dispatching shipments, and answering customer calls.
- Serve as a backup for service administration support across Epiroc USA Service Centers, ensuring consistent and reliable customer and distributor support.
- Adhere to company policies related to technical support, product liability, and Occupational Health, Safety, and Environment while contributing ideas to promote technical business growth.
- High school diploma or equivalent is required.
- One - three years of practical related experience in customer and/or technical service and training or equivalent combination of education and experience Mining or heavy equipment industry experience is highly preferred.
- Possess a valid driver’s license.
- Excellent verbal, written and presentation communication skills.
- Maintain a professional demeanor and communication with customers and internal staff.
- Proficient level experience working in MS Office, especially Word, Excel, PowerPoint and Outlook.
- Position may require approximately 10% travel to various locations for service admin support.
