Job Summary
As a key figure within our HR / Total Rewards team, the Payroll Specialist is primarily responsible for executing various payroll functions, including processing weekly and semi-monthly payrolls, while ensuring compliance with company policies and procedures. This role demands strong organizational skills, meticulous attention to detail, and the capacity to handle multiple tasks while adapting to evolving priorities promptly.
Essential Functions, Duties, and Responsibilities
Tasks may include, but are not limited to the following :
- Process weekly, semi-monthly, and off-cycle payroll, including new hires, status changes, terminations, tax changes, wage garnishments, and other statutory requirements.
- Ensure compliance with multi-state wage and hour laws.
- Prepare deductions and payment inputs.
- Produce weekly financial reports; experience with reporting tools is a plus.
- Provide payroll-related information and answer employee questions.
- Process payroll-related invoices.
- Run various audit reports to ensure accuracy of third-party transactions.
- Maintain confidentiality of sensitive information.
- Support supervisors / managers with timekeeping software.
- Work certain holidays / weekends as needed due to payroll processing schedules.
- Ensure proper accounting and accurate calculations of payroll functions while following legal requirements.
- Participate in and may lead payroll-related projects, coordinating project support.
Qualifications : Education, Experience, and Skills
Required :
High school diploma.3 years of payroll processing experience.Experience with payroll softwareExperience using UKG Ready is a mustStrong Excel skills (VLookUp, pivot tables, formulas, etc.).Ability to work under tight deadlines.Preferred :
Undergraduate degree in business, accounting, or a related field.Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP).Experience with UKG Ready or comparable software.Associated Knowledge, Skills, and Abilities
Proficient functional knowledge and analytical skills pertinent to administering payroll.Advanced knowledge of Microsoft Excel.Ability to manipulate data, prepare reports, and analyze outcomes.Knowledge of accounting and legal requirements of payroll reporting and taxes.Excellent verbal and written communication skills.Ability to learn additional software and / or reporting tools (UKG Kronos preferred).Core Job Competencies

Working Environment & Conditions / Physical Requirements
Work requires extensive sitting at a desk with significant use of a computer.Ability to bend, squat, and lift (up to 15 pounds).Occasional entry into factories or warehouses, requiring PPE (e.g., steel toe shoes, cut-resistant sleeves, safety glasses, ear plugs, and gloves). KWE provides all PPE except for steel toe shoes, for which an annual allowance is provided.Occasional requirement to work holidays or weekends due to payroll schedules.Equipment or Machines Routinely Used in This Position
