As the Receptionist in our New York City office, you will play a pivotal role in ensuring our office operates smoothly, while also being the first point of contact for clients, guests, vendors, and employees. From maintaining office efficiency to supporting employee-facing services, you will be a key contributor to the atmosphere of our office.
Role Responsibilities
- Greet clients, guests, vendors, and employees in an enthusiastic, professional, and welcoming manner.
- Answer phones courteously, route calls appropriately, and record messages when needed.
- Coordinate visitor access by adding them to the building security manifest and organizing Building IDs for new employees.
- Manage day-to-day office operations, including ordering and maintaining stocked office supplies in a cost-efficient manner.
- Organize and facilitate office events, ensuring all logistics are handled professionally.
- Receive, sort, and route incoming mail and packages; coordinate outgoing mail and deliveries with FedEx, UPS, or USPS.
- Collaborate with the Global Administrative Team and Executive Assistants to organize meeting logistics and conference room calendars in MS Outlook.
- Proactively ensure the availability and functionality of office equipment, such as coffee machines and printers, collaborating with relevant teams as needed.
- Provide support to the New York Executive Assistant and complete additional office-related projects as directed.
- Maintain a professional and guest-ready office environment at all times.
- Anticipate and address the needs of staff and the office in a time-sensitive manner.
- 5 years of prior administrative or receptionist experience is preferred.
- Excellent verbal and written communication skills, with the ability to professionally engage with staff, management, clients, and other guests.
- Strong interpersonal skills, detail orientation, and exceptional organizational and time management capabilities.
- Proficiency in Microsoft Outlook and the Microsoft Office 365 suite (Excel, Word, PowerPoint, Forms); familiarity with Adobe Acrobat Professional is a plus.
- Ability to compose professional emails, announcements, and notices as required.
- Must be proactive, attentive to detail, and demonstrate the ability to anticipate and address needs before they arise.
- Available to work in the office at 225 Liberty Street, five business days per week.

- Compensation Range: The annual total compensation range for this position is $50,000 - $65,000 per annum comprising of base salary and variable performance related pay. Exact compensation may vary based on skills, experience and interview performance.
