Support Services
Provides various support activities. Identifies, enhances and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided. Ensures the correct functioning of facilities, office and/or business support services.
Assignment Family:
Office Administrative Support
Provides secretarial/administrative support to Associates or groups in the organization. Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondences, reports, presentations, agendas, minutes, etc. Receives, screens and directs incoming calls, visitors, mail and e-mail. Maintains files, records, calendars, and diaries. May arrange business travel, coordinate meeting arrangements, and/or track expenses. Reception/Phone Operations.
Executive Administration
Executive Administration work is focused on supporting an individual executive or small number of executives in their day-to-day office activities including: *Obtaining and organizing information for use in conferences, speeches, and reports as requested by the executive *Editing, proofing, formatting, document design/production, form filling, and data entry *Scheduling/coordinating meetings, diaries, and travel arrangements *Receiving/relaying telephone messages from internal and external sources, managing the time/interaction executives have with internal and external sources Typically this role is required to handle confidential business and personnel information. Incumbents with some or all of the following responsibilities should be mapped one career level higher: *Have greater knowledge of the organization (i.e., financial processes, authorization processes, etc.) *Have ownership of the executive's agenda/schedule (oversees access to executives) *Typically in contact with internal and external executives *Bilingual *May do some research and basic authoring/drafting of documents/correspondence
