How You’ll Contribute:
As an Administrative Support Assistant, you will provide essential day-to-day administrative and operational support to the IT Administrative Assistant and leadership within the Information Systems department. This role plays a key part in managing accounts payable processes, vendor communications, and expense tracking to ensure smooth departmental operations. You will collaborate with various teams to maintain organized records, facilitate payments, and support the IT department’s broader goals.
We are looking for candidates who are detail-oriented, proactive, and passionate about administrative excellence.
Please Note: This is a part-time role requiring 20-30 hours per week depending on workload. The anticipated length of this contract is 60-90 days.
What You’ll Do:
- Manage the IT Invoice mailbox and process invoices for payment.
- Respond to accounts payable and vendor requests in a timely manner.
- Research and track vendor payments and contract expenditures.
- Maintain accurate and up-to-date vendor records and reports.
- Assist the IT Administrative Assistant with various administrative tasks as needed.
- Actively contribute to a positive and inclusive work environment while demonstrating core values of integrity, teamwork, and accountability.
What You’ll Bring:
Education:
- High School Diploma or Equivalent (Required).
- Associate’s or Bachelor’s Degree (Preferred).
Experience:
- Minimum 1 year of administrative or office support experience required.
- At least 1 year of experience in accounts payable processing required.
- Experience supporting a corporate IT department or working in financial services, life insurance, or insurance industries is a plus.
Knowledge, Skills, and Abilities:
- Strong written and verbal communication skills.
- High attention to detail with a commitment to accuracy.
- Ability to independently analyze and process vendor invoices.
- Problem-solving skills with the ability to identify and resolve issues proactively.
- Strong interpersonal skills to interact with employees at all levels and external vendors professionally.
- Ability to prioritize tasks, manage multiple deadlines, and maintain organization.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to handle sensitive information with discretion and confidentiality.
- Adaptability to new processes, systems, and technology.
Physical Requirements:
- Primarily a seated role with occasional walking, bending, and reaching.
- Frequent use of a computer and other office equipment.
