How You’ll Contribute:
As an Executive Assistant, you will provide comprehensive support to the CEO, ensuring seamless management of schedules, communications, and priorities. This role is ideal for a proactive, highly organized professional who thrives in a dynamic environment and is committed to maintaining discretion and professionalism in every interaction.
What You’ll Do:
- Manage and optimize the CEO's calendar, including scheduling and rescheduling appointments and meetings.
- Coordinate complex travel arrangements, monitor schedules, and handle any changes proactively.
- Prepare expense reports, meeting agendas, and distribute materials for meetings and conferences.
- Act as a trusted liaison between the CEO and internal/external stakeholders.
- Participate in meetings as needed, taking notes, tracking action items, and ensuring timely follow-up.
- Anticipate the CEO’s needs and proactively plan to address them.
- Create and refine professional documents, including correspondence, reports, and presentations.
- Organize office spaces for guest arrivals and support office events.
- Contribute to a collaborative and inclusive workplace culture
What You’ll Bring:
Education:
- High School Diploma or Equivalent required
- Bachelor's Degree preferred
Experience:
- 10 years of corporate executive support experience (preferred).
- Experience supporting the CEO in the insurance or financial services industry required
Knowledge, Skills, and Abilities:
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Excellent communication and interpersonal skills with a commitment to professionalism.
- Strong organizational skills with the ability to prioritize and adapt to shifting needs.
- Discretion and sound judgment in handling sensitive information.
- Ability to work independently and meet deadlines in a high-paced environment
Physical Requirements:
- Ability to sit, see, talk, and hear continuously during work hours.
