We are seeking a highly organized and proactive Administration Assistant to provide comprehensive administrative support to the Director of Operations in our Glassboro, NJ office. The ideal candidate is a tech-savvy professional with exceptional computer skills, a strong ability to manage multiple priorities, and a keen eye for detail. This role requires discretion, flexibility, and excellent communication skills to ensure smooth day-to-day operations.

Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Draft, edit, and format reports, presentations, and correspondence using advanced software skills.
  • Maintain and organize electronic files, databases, and records with a high level of accuracy.
  • Serve as a liaison between the Director of Operations and internal / external stakeholders, handling inquiries professionally.
  • Prepare agendas, take minutes, and follow up on action items to ensure timely completion.
  • Leverage various software and tools to enhance productivity, including Microsoft Office Suite, Google Workspace, and project management platforms.
  • Address administrative challenges efficiently and recommend process improvements.
  • Handle sensitive information with discretion and maintain strict confidentiality.

    Requirements : Qualifications

  • Proven experience as an Administrative Assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • High level of discretion and professionalism.
  • Preferred Skills

  • Experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
  • Strong analytical and research skills.
