Position Summary:
The Document Control Administrator position is responsible for ensuring that all Quality Management Systems documents are up to date and entered appropriately in the document management system and coordinating the appropriate QMS training for the North America and Europe facilities. The Document Control Administrator is also responsible for coordinating internal and external customer records or certification requests for North America. This position requires strong attention to detail and excellent organizational skills as the role will be responsible for ensuring the documents, internal/external requests, and training are within compliance and maintained appropriately. Position Responsibilities:
- Act as Subject Matter Expert of the Document Management System for our North America and Europe facilities. Act as the initial point source for any questions or support relating to document creation/revision.
- Coordinate the creation/revision, approval workflow, and release of Quality Management System documents. Review documentation packages for accuracy and conformance to established procedures, standards, and regulations.
- Provide support to document authors and assist with document formatting.
- Coordinate the migration of documents between systems as needed.
- Issue documents and monitor periodic document review process to ensure documents are reviewed and revised per the review cycle.
- Act as Subject Matter Expert of the QMS portion of the Learning Management System for our North America and Europe facilities. Act as the initial point source for any questions or support relating to QMS training administration.
- Assist Process Owners with creating new training or revising existing training in the Learning Management System.
- Assign training and monitor training completion, taking the appropriate action to prompt users to complete training in a timely manner.
- Generate ESG, product compliance, and certificate of conformance declarations when requested by internal and external customers.
- Maintain Ergotron’s safety/design/process standards repository and online subscription.
- Process and publish Customer Test Reports for confidential information as requested.
- Provide business support to areas assuring compliance with relevant Quality and EHS standards.
- Additional duties as requested.
- Supports site specific QMS initiatives for continuous process improvement.
Position Requirements (Knowledge and Experience):
- Associate’s degree in science, engineering, or business administration-related field or equivalent experience.
- 2 Years previous experience in document control/administration or a similar role.
- Proficient in Microsoft Office (including Word, Excel, PowerPoint, SharePoint, and Outlook).
- Strong attention to detail and organizational skills.
- Experience with writing technical documents/procedures.
- Excellent communication and interpersonal abilities.
- Understanding of change control processes.
- Proficient in document management software and systems is preferred.
- Product compliance and ESG experience is preferred.
- Familiarity with Assent and Asana cloud-based software is preferred.
- Knowledge of ISO 9001 quality management systems is preferred.
- Understanding of relevant industry standards and regulations is preferred.
- Must be able to perform the physical requirements of the job as described to you for the position.
- Hybrid role: designated days in office with flexibility to work remote on remaining days based on business needs, events, or meetings.
