Office Administrator
General Responsibilities:
- Handles Order Scheduling and assists with Order Entry, Accounts Receivable, Accounts Payable and the distribution or completion of customer requests
- Promptly and courteously answers incoming telephone calls
- Prints and organizes manuals for shipments
- Completes new customer & vendor set up forms
- Helps enter basic customer orders during vacations, absences and when the volume is heavy
- Provides support to the invoicing function as needed
- Assists with collection efforts on past due accounts, including communication with customers and recording of all communications in the A/R system
- Aids the Human Resources department by distributing policy information and completing onboarding & offboarding work
- Manages data entry and other record-keeping tasks
- Enters established customer pricing in the ERP system and keeps pricing up to date
- Provides support to staff and management, including handling correspondence, preparing documents, scheduling meetings and executing other general office duties
- Assists with the coordination of company events
- Helps distribute customer requests
Scheduling & Planning Responsibilities:
- Monitors vendor Purchase Orders for timeliness. Expedites orders, changes corresponding customer ship dates and escalates late orders to management as needed
- Corresponds with vendors & customers about ship dates as needed via email and the phone
- Coordinates ship dates with the warehouse, sales, and purchasing departments
- Monitors and organizes purchasing inbound email account in addition to own email account
- Reviews vendor acknowledgments, makes changes and records the information accordingly
- Responds as needed to vendor questions about the order, typically regarding price, delivery, or product description issues/discrepancies
- Coordinates vendor returns with the purchasing department, warehouse, sales and vendors
Physical and Technical Environment:
- Minimal lifting up to 50 pounds occasionally
- Must be able to sit, stand, walk, reach with hands and arms, bend and stoop in a normal office and manufacturing environment
- Ability to routinely travel throughout multi-floor office and shop area which includes walking, climbing stairs and utilizing elevator
- Exposure to varying environments, changing deadlines, strict time constraints
- This position may require occasional overtime depending on business needs. Candidates should be prepared to work additional hours when necessary
- Based on satisfactory job performance and the completion of 6 months in person, the position is deemed eligible for remote work 2 days per week as assigned by management. Productivity and performance standards must be maintained when remote, and in person work will be required if the Accounts Payable Specialist is out with planned or un-planned time off.
Required Education and Experience:
- Minimum 1 – 2 years relevant working experience
- High school diploma or equivalent
- Able to read, write, and follow verbal instructions in Standard English
- Minimum Typing Speed of 50 WPM
- Must be able to read and comprehend technical specifications
- Demonstrated attention to detail, perseverance, and troubleshooting
- Proficient in MS Office products, QuickBooks and Adobe Acrobat preferred
