JOB SUMMARY : The Director of Operations is directly responsible for overseeing the day-to-day operations across multiple key business functions within a growing medical device company, including Order Fulfillment, Affiliate Warehouse Operations, Traffic, Facilities Maintenance, Janitorial, Construction, Security, Purchasing, Logistics, Procurement, Sales Operations, and Quality Assurance. This leadership position will ensure that the operations of these functions are aligned with company goals and customer expectations, driving efficiency, quality, and profitability. Additionally, the Director will be responsible for leading cross-functional projects, optimizing processes, and ensuring compliance with relevant regulations.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES :
1. Order Fulfillment and Sales Operations (20%)
o Manage and monitor consignment, sale, and service orders to ensure timely fulfillment.
o Schedule and assign tasks to meet customer demands and forecast needs.
o Collaborate with Sales and Traffic departments to ensure on-time deliveries and installations.
o Track and report open orders, purchase receipts, and available stock, adjusting priorities as needed.
o Work closely with Sales Admin to address order discrepancies, delays, or shortages.
o Provide regular updates to senior leadership on order fulfillment status.
2. Facilities Maintenance, Safety & Security, Janitorial, and Construction (15%)
o Ensure compliance with health, safety, and environmental regulations.
o Conduct safety meetings, audits, and inspections and ensure corrective actions are taken.
o Manage preventative maintenance programs and maintain site safety compliance.
o Oversee facilities maintenance, including security, janitorial services, and construction projects.
o Develop and implement emergency action plans and manage incident response processes.
o Ensure all health and safety requirements are met for all premises and facilities.
3. Purchasing, Logistics, and Procurement (20%)
o Oversee procurement functions to ensure the timely acquisition of materials and services necessary for operations.
o Negotiate with suppliers and vendors to secure cost-effective and timely solutions.
o Manage the logistics of shipping, receiving, and warehouse operations, ensuring efficient inventory management.
o Track inventory levels, reordering supplies as needed to prevent shortages and optimize stock levels.
o Ensure compliance with all purchasing and procurement policies and procedures.
o Develop cost-saving strategies while maintaining quality standards.
4. Project Management (15%)
o Lead and manage cross-functional projects, from initiation to completion, ensuring deadlines and budget constraints are met.
o Develop project plans, including timelines, resource allocation, and scope management.
o Communicate with stakeholders, ensuring projects are aligned with company goals and objectives.
o Mitigate risks and resolve project issues proactively.
o Conduct post-project evaluations and integrate lessons learned into future initiatives.
o Ensure all projects comply with relevant industry standards, company policies, and regulatory guidelines.
5. Quality Assurance and Control (15%)
o Oversee the quality control processes to ensure that products and services meet industry standards.
o Work with QA teams and regulatory bodies (e.g., TUV, Esaote) to prepare for and conduct ISO and other relevant audits.
o Manage calibration processes, ensuring that equipment meets necessary operational standards.
o Address any non-conformance issues and ensure corrective actions are implemented.
o Review and update work instructions, device master records (DMR), and quality checklists.
o Ensure adherence to the company’s quality management system (QMS).
6. Team Leadership and Development (15%)
o Supervise, mentor, and develop teams in Service, Traffic, Sales Admin, and other operational areas.
o Foster a collaborative environment to drive team success and accountability.
o Provide training on compliance, operational procedures, and safety standards.
o Set performance goals and conduct regular performance reviews to ensure continuous improvement.
o Lead by example, ensuring high standards of professionalism, accountability, and ethics are maintained.
SUPERVISORY RESPONSIBILITIES :
- Oversee the Traffic and Sales Admin departments.
- Lead and manage teams across multiple operational areas, including purchasing, logistics, quality assurance, and project management.
EDUCATION & QUALIFICATIONS :
o Bachelor’s degree in Business Administration, Operations Management, or a related field.
o Industry-specific certifications (e.g., Lean Six Sigma, PMP) are preferred.
o At least 5-7 years of experience in operations management, including purchasing, logistics, service operations, and quality assurance, preferably in the medical device industry.
o Proven experience in a leadership or supervisory role with cross-functional teams.
o Familiarity with industry-specific regulations, including ISO, FDA, and other medical device compliance standards.
o Strong leadership skills with a focus on developing and motivating teams.
o Proficient in project management, process improvement, and resource allocation.
o Solid understanding of logistics, procurement, and inventory management.
o Strong analytical and problem-solving skills.
o Excellent communication and interpersonal skills.
o Ability to handle multiple priorities in a fast-paced, dynamic environment.
TRAVEL REQUIREMENTS :
Ability and willingness to travel domestically and internationally, up to 50% of the time.
