General Job Function:
The Digital Accounts & Access Specialist plays a critical leadership role in managing the district's identity and access ecosystem. This position ensures secure, timely, and efficient access to digital tools and systems for all users—students, staff, substitutes, and contractors. This position ensures that students, teachers, substitutes, instructional assistants, and other staff have appropriate access to digital curriculum, instructional resources, and essential district systems. Works closely with Human Resources, Finance, and IT departments, the manager oversees user lifecycle provisioning, access governance, and login support across educational and enterprise platforms.
The ideal candidate has at least 3 years' experience in account provisioning and directory services, with a strong commitment to data privacy, service excellence, and continuous improvement in support of teaching and learning.
Education/Training/ Experience: Minimum:
- Minimum of three years' experience in IT support, account management, or identity and access management.
- Previous experience in an educational setting preferred.
- Knowledge of student information systems (SIS), learning management systems (LMS), and enterprise resource planning (ERP) systems is beneficial.
Knowledge/Skills and Abilities:
- Strong knowledge of account provisioning, role-based access control (RBAC), and directory services such as Google Workspace, and Active Directory, Synergy, IVisions, and PowerSchool, Canvas, Talent Ed, School Dude, Informed K 12, etc.
- Proficiency in troubleshooting login and access-related issues across various platforms.
- Experience with digital curriculum platforms, enterprise tools, student and staff portals.
- Ability to collaborate effectively with HR and Finance teams to ensure proper access controls.
- Strong problem-solving and end-user support skills
- Effective communicator able to train and assist non-technical staff
- Knowledge of data privacy regulations (e.g., FERPA, COPPA) and access control policies
- Excellent documentation, organizational, and project coordination skills

Primary Responsibilities:
- User Account Lifecycle Management
- Creation, modification, and deactivation of user accounts across the district
- Troubleshoot student and staff login accounts for district systems.
- Ensure timely onboarding/offboarding workflows for staff, students, and substitutes
- Implement automation and policy enforcement for secure access management
- Monitor account security and manage access permissions
- Cross-Departmental Coordination
- Partner with HR to ensure accurate and timely account setup for new hires
- Coordinate with Finance for controlled access to payroll and timekeeping and financial systems
- Ensure consistency and security across digital resources
- Curriculum Department: access to digital curriculum to students/teachers
- Maintain controlled access to sensitive district platforms.
- Support & Troubleshooting
- Provide Tier 2 support for access and login-related issues for staff and students
- Collaborate with IT team to address and resolve escalated authentication problems
- Maintain high availability of access services and minimize downtime
- Work with vendors for set-up, management and troubleshooting processes.
- Implement best practices to improve login and access efficiency.
- Training & Documentation
- Develop and lead training for staff on digital access systems
- Maintain comprehensive documentation for account policies and troubleshooting procedures
- Create district-wide protocols
- Security & Compliance
- Monitor accounts for suspicious activity and report anomalies
- Enforce compliance with district policies and legal regulations on access and data privacy
- Support internal audits and risk assessments related to identity management
- Additional Duties
- Assist IT leadership in evaluating and implementing access management tools
- Recommend improvements to streamline provisioning and security protocols
- Stay informed on industry trends and emerging technologies in identity and access management
Physical/Cognitive Requirements:
- Ability to sit or stand for extended periods while working computer.
- Strong cognitive ability to diagnose and resolve technical issues.
- Ability to effectively communicate technical concepts to non-technical users.
Work Environment:
- Office environment with occasional travel to school sites for support and training.
- Occasional evening or weekend hours may be required for system updates or urgent support needs
