The Healthcare Administrative Operations Coordinator serves as our practice's first point of contact while managing critical operational and marketing functions. This part-time role combines patient care coordination, administrative oversight, and digital presence management.

Description

Key Responsibilities:

Clinical Operations:
  • Manage patient scheduling, check-in/check-out processes
  • Process referrals and verify insurance benefits
  • Maintain accurate Electronic Health Records (EHR)
  • Handle sensitive patient information with strict HIPAA compliance
  • Coordinate provider schedules and appointment management
  • Process payments and manage basic billing functions

Administrative Management:
  • Oversee daily office operations and supply management
  • Handle multi-line phone system professionally
  • Manage patient documentation and filing systems
  • Coordinate with insurance companies and healthcare providers
  • Process new hire paperwork and maintain personnel files
  • Organize and maintain office procedures and protocols

Digital Marketing & Communications:
  • Manage the practice's email marketing campaigns using Constant Contact
  • Perform basic website updates and maintenance
  • Coordinate social media presence within healthcare guidelines
  • Maintain online directory listings and profiles
  • Support content creation for practice communications
  • Track digital marketing metrics and engagement

Required Qualifications:
  • 2 years of healthcare administrative experience
  • Strong understanding of HIPAA regulations
  • Exceptional interpersonal and communication skills
  • Proficiency in Microsoft Office and Google Workspace
  • Experience with electronic health record systems
  • Demonstrated ability to handle confidential information
  • Strong organizational and time management skills
  • Customer service experience in a healthcare setting

Preferred Qualifications:
  • Experience with healthcare digital marketing
  • Knowledge of email marketing platforms
  • Familiarity with website content management systems
  • Understanding of healthcare social media best practices
  • Experience with practice management software
  • Background in mental health or healthcare settings

Schedule:
- Monday-Thursday: 9:00 AM - 5:00 PM
- Friday: 9:00 AM - 2:00 PM
  • 20-25 hours per week
  • Occasional flexibility required for special projects or coverage
