Job Summary
Under the supervision of the Library Director or designee, the Administrative Assistant is responsible for assisting in preparing documents, provide exceptional customer services while supporting in the daily processes and operations of the Library. Supervisory Role Oral and written instructions are received from the Dean of Community, Continuing Education and Workforce Development or designee. The Administrative Assistant may supervise support staff and student workers. Duties & Responsibilities 1. Assist with processing purchase requests via Banner for input and payments to the various vendors providing online services for Library.
2. Assist with the circulation desk inquiries and operations of the reference circulation, periodicals, and other sections of the library.
3. Assist students, faculty and staff with inquiries in reference to the use of periodicals and other materials in the library.
4. Assist with the organization and maintain the integrity of the library records and collections.
5. Responsible for the ordering and receipt of library materials including but not limited to, donations and gifts.
6. Process invoices and check requests on a timely basis. Contact vendors to resolve problems.
7. Assist students and refer them to the appropriate librarian or technician for assistance.
8. Verify the proper receipt of Library materials and contact vendors and publishers to resolve problems.
9. Provide support with photocopying, printing, supplies and other related services.
10. Handle telephone calls and routine office mail.
11. Establish and maintain an accurate filing system.
12. Maintain strict confidentiality and security of student, staff and client records.
13. Prepare routine, special and ancillary reports as required.
