Job Summary
We are seeking a detail-oriented and organized College Transcript Evaluator to join our academic team. In this role, you will be responsible for reviewing and evaluating academic transcripts from other institutions to determine transferability of courses, credits, and the appropriate application of credits toward academic programs. The ideal candidate will have strong analytical skills, a knowledge of academic policies, and the ability to work collaboratively with students, faculty, and staff.
Under the Director of the Enrollment Services / Registrar or designee, the Student Service Representative is responsible for the effective management of the college transcript evaluation process as it relates to Enrollment Services operations. Supervisory Role Oral and written instructions are received from the Director of the Enrollment Services / Registrar, or designee. The Assistant Director of Enrollment Services may supervise professional staff, support staff, part-time workers, and student workers. Duties & Responsibilities 1. Review and evaluate college-level transcripts from incoming students to assess transfer credits. 2. Apply institutional policies and guidelines to determine credit equivalencies, course transferability, and applicability toward degree programs.
3. Maintain accurate records of all evaluations and provide clear communication to students regarding their transfer credits.
4. Work closely with academic advisors, faculty, and department chairs to ensure proper course credit allocation.
5. Assist in the development and maintenance of transfer credit equivalency tables and other resources.
6. Respond to inquiries from prospective and current students regarding transcript evaluations, transfer credit policies, and procedures.
7. Process transcript evaluations in a timely manner and ensure compliance with institutional guidelines and accreditation standards.
8. Support efforts to update and refine credit transfer policies in accordance with changes in academic programs and institutional priorities.
9. Maintain strict confidentiality and security of staff and student records.
10. Prepare routine, special and ancillary reports, as required.
11. Performs all other duties and responsibilities as assigned or directed by the supervisor. Physical Requirements Additional Requirements Minimum Qualifications Experience (number of years), Knowledge and / or Abilities 1. Bachelor’s degree required.
2. Previous experience in transcript evaluation or academic advising is a plus.
3. Strong attention to detail and ability to analyze complex academic records.
4. Excellent communication and interpersonal skills, with the ability to work effectively with a diverse range of students and staff.
5. Knowledge of academic policies, transfer credit processes, and higher education practices.
6. Familiarity with student information systems (Banner), academic databases, and Microsoft Office Suite.
7. Ability to maintain confidentiality and handle sensitive information with discretion Education Requirements Bachelor’s Degree Licenses and Certifications (including e.g., CPR, first aid, driver’s license, etc.) Preferred Qualifications Experience (number of years), Knowledge and / or Abilities 1. Experience working in a registrar’s office or academic affairs setting.
2. Familiarity with TES and / or Transferology or other transfer credit evaluation tools.
3. Knowledge of regional and national accreditation standards.
