This crucial full-time role plays an integral part in the administrative operations of our busy dental practice. As a Dental Receptionist and Biller, you will be the first point of contact for our patients, ensuring a seamless and welcoming experience from the moment they step into our office. Please note, this position is not a remote job and requires a presence in our office which focuses on a collaborative and patient-centered environment.
Duties and Responsibilities
- Greet patients warmly and professionally upon arrival.
- Check-in patients and confirm their appointment details.
- Answer phone calls, respond to voicemails, and handle inquiries.
- Provide information about dental services, treatment plans, and office policies.
- Assist new patients with completing intake forms and collecting necessary documents.
- Direct patients to the appropriate area and inform the dental team of their arrival.
- Handle patient complaints, concerns, and feedback professionally.
- Offer waiting patients refreshments (if applicable) and maintain a comfortable waiting area.
- Schedule, confirm, and reschedule appointments via phone, email, or text.
- Send automated reminders (texts, calls, emails) for upcoming appointments.
- Manage provider schedules to prevent overbooking or gaps in the calendar.
- Handle last-minute cancellations and try to fill empty slots efficiently.
- Maintain a recall system for follow-up and routine checkups.
- Track no-show patients and follow up with rescheduling options.
- Verify patients' dental insurance coverage before appointments.
- Collect insurance details and update patient records with eligibility status.
- Explain insurance coverage, benefits, and out-of-pocket costs to patients.
- Submit insurance claims promptly and ensure accurate coding.
- Follow up on claim approvals, denials, and necessary corrections.
- Process payments, co-pays, and deductibles at check-out.
- Set up and manage patient payment plans when needed.
- Ensure accurate billing records and resolve any patient billing inquiries.
- Maintain and update patient records in the dental management software.
- Input patient medical and dental history accurately.
- Ensure HIPAA compliance and protect patient confidentiality.
- Scan, upload, and file necessary documents (X-rays, referrals, consent forms).
- Prepare and organize charts for the next day’s appointments.
- Manage and securely store electronic and paper patient files.
- Request and send patient records to/from other dental offices when necessary.
- Maintain cleanliness and organization of the front desk area.
- Order and manage office supplies, dental forms, and brochures.
- Keep the reception area neat, stocked, and welcoming.
- Coordinate with dental assistants and hygienists to ensure smooth patient flow.
- Track and order office uniforms, name tags, and office branding materials.
- Assist in creating and managing patient satisfaction surveys.
- Relay patient concerns to dentists, hygienists, or assistants.
- Coordinate with labs and suppliers for orders and deliveries.
- Send internal reminders about patient needs, special requests, or urgent cases.
- Communicate effectively with team members about office updates and protocol changes.
- Assist with social media updates, patient newsletters, and promotions.
- Manage referral programs and loyalty rewards for returning patients.
- Encourage and guide satisfied patients to leave online reviews.
- Organize community outreach programs or dental education events.
- Track patient feedback and suggest improvements for office services.
- Ensure all patient forms are completed and signed properly.
- Maintain HIPAA and OSHA compliance at the front desk.
- Keep track of emergency contact information and protocol readiness.
- Report any office equipment malfunctions or software issues.
- Follow COVID-19 or other health and safety guidelines strictly.
Requirements
- Proven experience as a dental receptionist or similar administrative role.
- Knowledge of dental terminology, procedures, and billing processes.
- Strong communication and interpersonal skills for interacting with patients and staff.
- Proficiency in using dental management software and office tools (e.g., MS Office).
- Ability to handle sensitive information confidentially.
- High school diploma; further training or certification in Office Management is a plus.
