Job Summary
A small law firm is seeking a highly organized and proactive Executive Assistant to support our CEO. This role is essential in ensuring the smooth operation of the executive office and requires a detail-oriented individual who can manage multiple tasks efficiently. The ideal candidate will possess strong communication skills, proficiency in Google Suite, and a solid understanding of office management practices.
Responsibilities
- Provide comprehensive administrative support to the CEO, including managing schedules, organizing meetings, and preparing necessary documents.
- Transcribe meeting notes and prepare reports as needed.
- File and maintain important documents, ensuring easy access and organization.
- Type correspondence and other documents with accuracy and attention to detail.
- Manage phone systems, including screening calls and handling inquiries professionally.
- Assist with office management tasks to maintain an efficient working environment.
- Obtain client signatures, notarize documents.
- Act as a personal assistant when needed, handling personal tasks that support the CEO’s productivity.
Requirements
- Proven experience as an Executive Assistant or in other administrative roles.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in Google Suite applications (Docs, Sheets, Calendar).
- Familiarity with office management procedures and phone systems.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information discreetly.
- Strong attention to detail and commitment to quality work.
- Knowledge of Estate Planning Law is highly desirable but not required.
- Desire to help others in a very important aspect of their legal lives.
