Job Overview
We are seeking a dedicated and dynamic Client Engagement Manager CEM. This team member is responsible for creating a relationship with both potential clients and clients who have engaged our firm. The CEM’s job includes (but is not limited to) the following responsibilities:
Outreach & Intake
· Conduct intake consultations for potential clients scheduling estate planning sessions
· Management of database in CRM for tracking and reporting incoming and outgoing leads, including but not limited to ensuring all leads are properly tagged in database and all follow up sequences go out to leads
· Follow up on leads
· Run reports and create follow-up campaigns (ie, consults who never engaged, event attendees who never engaged, etc.)
Client Meetings and Company Calendar
· Schedule appointments
· Coordination/communication with potential clients and clients for scheduling/rescheduling, reminders for all client meetings
· Tracking and support to ensure client intake information is completed timely
Post Client Engagement
· Receive and manage payments and set up billing
· Prepare planning summary docs and asset inventories
· Request missing information
· Confirm asset documents
Document Preparation
· Print and bind documents and planning binders
Execution and Notarization
· Review and notarization of documents with client
· Advise clients on all estate planning documents
Trust Funding
· Client conferral asset review and funding instructions
· Funding activities for Trusts - funding documentation requirements from various institutions
· Track and document funding activities
Trust Administration
· Management and calendaring of trust administration activities
· Client conferral on administration activities
Probate
· Management and calendaring of probate matters
· Client conferral on probate activities
File Maintenance
· Track and maintain client files in Microsoft Office
· Track and maintain client files in CRM
Events
· Organizing/staging and attendance of firm events and other community events the Company will host and participate in for the purpose of client and community engagement
· Event registration creation/management in CRM
Outreach Coordination Activities
· Research and communicate with potential venues and organizations for Company outreach for Company hosting and/or attending events (eg, schools, community events, parent organizations, retirement communities)
· Utilize social media for Firm outreach (eg, posting in relevant blogs)
Admin
· Track, order and maintain office inventory (eg, binders, paper, business cards, event workbooks, brochures, client gifts/cards/witness gifts, etc.)
· Order client gifts and write thank you notes
· Trouble-shoot system issues
Continuing Education and Networking
· Participation in training to further knowledge of estate planning, trust administration, probate and client engagement
· BNI participation and other networking opportunities
Skills/Experience/Qualifications Needed
· Must be a CA commissioned notary public
· Ability to work independently with minimal instructions
· Ability to prioritize workload based on internal and external customer needs
· Ability to meet and deal with internal and external clients in a professional manner
· Proficient in MS Office with a minimum of 2 years’ experience
· Preferred: proficient in Lawmatics, Decisionvault, Canva
· Preferred: bilingual (English and Spanish)
Job Type: Full-time
Pay: $65,000.00 - $75,000.00 per year
