Job Summary :
The Admissions Coordinator is responsible for managing the intake process for patients entering the facility’s IOP and PHP programs across both the Florida and Tennessee locations. This role involves coordinating patient assessments, verifying insurance benefits, and ensuring a smooth transition from inquiry to admission. The coordinator serves as the primary point of contact for prospective patients, families, and referral sources.
Key Responsibilities :
Admissions Process :
Manage all incoming inquiries and referrals for both the Fort Lauderdale and Tennessee facilities.
Conduct pre-admission assessments and initial screenings to determine program eligibility.
Facilitate admissions by coordinating with clinical staff, verifying documentation, and ensuring all intake paperwork is completed accurately.
Schedule admissions, confirm appointments, and communicate with families and referral sources throughout the process.
Insurance and Financial Coordination :
Verify insurance coverage and obtain prior authorizations for treatment.
Discuss payment options with patients and families, ensuring transparency regarding costs.
Work with the billing department to ensure smooth financial processing.
Communication and Coordination :
Maintain regular communication with the clinical team regarding admissions and census updates.
Ensure patients receive clear information regarding program expectations, schedules, and support resources.
Collaborate with the clinical and administrative teams across both locations to streamline the admission process.
Documentation and Reporting :
Maintain accurate patient records and ensure HIPAA compliance.
Prepare reports on admissions, referral sources, and census trends.
Track follow-ups for pending inquiries and maintain detailed logs.
Qualifications :
High school diploma or GED required; bachelor’s degree in healthcare administration, social work, or a related field preferred.
Experience in healthcare admissions, behavioral health, or substance abuse treatment settings.
Strong knowledge of insurance verification and prior authorization processes.
Excellent communication, organizational, and problem-solving skills.
Proficiency in EMR systems and Microsoft Office Suite.
Licensing / Certifications :
No specific licensure is required for this role.
Certification in medical billing or healthcare administration is a plus.
Work Environment :
Office-based in Fort Lauderdale with occasional remote communication with Tennessee operations.
