We’re looking for a Medical Administrative Assistant/Receptionist to join our passionate team. This individual should be highly motivated, compassionate, and understanding of the challenges faced by those in recovery. Key Responsibilities:
- Greet visitors, clients, employees, and stakeholders in a warm and professional manner, both in person and over the phone.
- Answer phones with excellent phone etiquette, ensuring all inquiries are addressed promptly and professionally.
- Schedule client appointments accurately, ensuring detailed completion of demographics.
- Verify client insurance information and ensure proper documentation.
- Ensure new intake forms are completed at least 2 days before appointments.
- Make confirmation calls to new clients and document the information in their records.
- Update client forms and demographic information during check-in.
- Complete UDS billing sheets and KASPER reports according to clinic policies.
- Maintain HIPAA compliance, ensuring a secure and confidential environment at all times (e.g., closed doors, secure cabinets, and minimal disruptions in waiting areas).
- Keep a clean and organized workspace with minimal paper usage, contributing to Ethan Health’s goal of a paper-free environment.
- Participate in the housekeeping of the front lobby and other common areas.
- Follow up on voicemails and form submissions to ensure timely responses.
- Obtain Release of Information (ROI) for new clients and attempt to retrieve necessary records.
- Perform additional administrative tasks and duties as assigned by management.
Qualifications:
- High School Diploma or GED required.
- 2 years of experience in a healthcare setting preferred.
- 2 years of customer service experience is required.
- Proficiency in Microsoft Office 365, Word, Excel, and OneDrive.
- Strong communication skills, including the ability to deliver difficult messages to clients in a professional and compassionate manner.
- Ability to work efficiently in a fast-paced environment, handle multiple tasks, and meet deadlines.
- Detail-oriented with excellent time management skills.
- Must pass a background check and drug screening.
- Must not be listed on the Federal Exclusion List.
