Your Impact
The Vehicle Fleet team is seeking a detail-oriented and organized individual with multi-tasking and problem-solving abilities to join our team as a Vehicle Fleet Administrative Assistant. In this role, you will be responsible for handling various administrative tasks related to the management of our vehicle fleet. Key responsibilities include processing registration renewals, booking rental reservations, managing open rentals, handling citations and tolls, and overseeing the issuance and management of WEX fuel cards. This is a Hybrid role, candidates are required to report to the Paso Robles Corporate office 2-3 days per week with the option to work remotely the rest of the week. Candidates should reside in or around the Paso Robles, California area.

Core Responsibilities
- Monitor and track vehicle registration renewal deadlines and ensure compliance with regulatory requirements.
- Book rental reservations for company vehicles as needed and manage and update the schedule for open rentals.
- Monitor and manage tolls and citations for company vehicles and issue toll passes as needed.
- Issue WEX fuel cards to drivers and maintain accurate records of card distribution.
- Prepare reports and summaries related to registration renewals, rental reservations, citations, tolls, and fuel card usage.
- Communicate with drivers to ensure compliance with administrative processes and deadlines.
- Collaborate with vendors to manage fuel, toll and registration programs.
Core Experience
- 2 years operations administrative experience.
- Previous experience in a Fleet administrative or Fleet support role is preferred.
- Intermediate level skills using Microsoft Office Suite.
- Proactive, customer service-oriented mindset.
- Strong organizational skills with the ability to take ownership of projects and deadlines and hold others accountable to deadlines and deliverables.
- The ability to work well both independently and in a team environment, and the ability to interact effectively across the Company.

- Availability for occasional after-hours and weekend on-call work for emergencies or job duties noted above.
