Materials Specialist
Basic Function: Coordinates materials operations, including customer service, purchasing, shipping, and receiving.
Responsibilities:
- Creates and processes materials orders for internal and external customers
- Receives and directs calls and emails in a courteous and professional manner
- Builds effective relationships and trust with internal and external customers by listening to their needs and educating them about materials
- Maintains accuracy for orders and inventory
- Receives and processes payments
- Follows operational procedures for verification of incoming and outgoing shipments, handling, and disposition of materials; evaluates and adjusts procedures as appropriate
- Maintains sufficient inventory levels by preparing and analyzing reports, negotiating prices, purchasing materials and shipping supplies, warehouse organization and cleanliness
- Maintains relationships and negotiates contracts with all shipping carriers, printers, and vendors
- Works closely with Director of Operations, EE USA National Director, and Graphic Artist to manage material quality, cost, and appropriate inventory levels
- Manages physical count of inventory as required for audit and cycle counts
- Maintains confidentiality while demonstrating a high level of professionalism
- Provides timely resolution of customer complaints, concerns, and returns
- Follows-up on Accounts Receivable balances
- Maintains customer accounts and enters new contacts received from various sources
- Attends meetings as requested
- Willing and able to pray with and for customers, donors, and colleagues
- Directs salvage of damaged or used materials
- Assists with the setup and takedown of on-site events as requested by Director of Operations
- Manages store closures and the communication thereof
- Stays current on safety and OSHA standards
- Performs office cleaning tasks according to the cleaning schedule
- Other duties as assigned
Qualifications:
- Minimum of two years’ experience providing customer service
- Knowledge of customer service principles and best practices; excellent customer service skills
- Knowledge of warehousing, purchasing, materials, shipping, office administration and procedures
- Commitment to excellence and high standards; acute attention to detail
- Willingness and ability to learn and use new technologies and best practices
- Strong organizational skills; able to manage priorities and workflow
- Ability to work independently and as a member of various teams
- Advanced clerical skills; ability to perform diversified clerical functions and basic accounting procedures
- Excellent written and verbal communication skills; ability to understand and follow written and verbal instructions

- Must be able to speak, read, write, and understand English; bilingual skills preferred

- Proficient in basic computer applications including Microsoft Office Suite, Google Apps, and the Internet; ability to learn and become proficient in Shopify, Stamps.com, and UPS Worldship

Physical Demands and Work Environment: While performing the duties of this job, the employee is frequently required to do the following:

FLSA: This position is in the Arden, NC headquarters and is non-exempt, hourly, part-time, with office hours as agreed upon with Supervisor.
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 20 – 25 per week
