Event Southwest is hiring! We are looking to add a new member to our core team to help support the tremendous growth our company has seen this past year. This position is perfect for someone looking to get their foot in the door in the events industry and learn everything there is to know about managing, producing, and consulting on events with anywhere from 1,000-50,000 attendees; or someone with years of experience looking for a new opportunity to grow professionally with an established and fast-growing company.

We are looking for a motivated, hard-working, go-getter who can learn our systems and tools to support our Account Managers on their events, until they feel confident and comfortable to begin managing events of their own.

ESW manages, produces, or consults on over 30 events each year ranging from the BMW Dallas Marathon to the City of Richardson’s Lunar New Year Festival. We specialize in large-scale (1,000 attendees) outdoor public events like marathons, runs and walks, non-profit fundraisers, festivals and concerts, and municipality/community events. 


ACCOUNT COORDINATOR RESPONSIBILITIES

  1. Assist Account Managers on all items related to their clients/events while you learn our processes and the events industry in preparation for becoming an Account Manager yourself. 
  2. Operate as the secondary point of contact to the client for any and all matters specific to your accounts.
  3. Ensure every meeting with clients has a thorough agenda and capture notes during meetings.
  4. Learn how to use Adobe Illustrator and become proficient in the program so that you can create event signage, maps, instructions and any documents needed for an event.
  5. Learn how to use and utilize all ESW tools and standard operating procedures to maintain consistency across events and clients.
  6. Ensure the correct products and services are delivered to clients in a timely manner.
  7. Learn how to use AutoCAD to edit and build site maps for events.
  8. Assist the Account Manager on event day and serve as the "2nd in command" for all staff and vendors.
  9. Be available to work all or almost all events, including weekends and holidays, and physically be able to work a 10-hour event day being on your feet walking around majority of the time, and moving around event assets.
  10. Manage public notices, vendor communications, permit applications and design work for your events.

DAY-TO-DAY COMPANY RESPONSIBILITIES

  1. Be available Monday - Friday 10am-4pm for internal and external meetings and work. 
  2. Must be able to come into the office ~2 days per week. 
  3. Answer client emails within 24 hours and internal Slack messages within 12 hours.
  4. Log all billable time towards the proper category in real time or, worst case, by EOD. 
  5. Fully use all ESW Playbook tools, per our ever-evolving project management practices
  6. Create a personal time management plan and environment that yields the best results for you.
  7. Routinely back up all created or received project documents onto ESW Google Drive (avoid any local storage).
  8. Be fully prepared to provide Account updates during weekly internal meetings & strive for proficient and efficient communication.
  9. Continue to enhance skills within key software categories: Adobe Illustrator, Smartsheet, AutoCAD, Google Products, etc.
  10. Work smarter, not harder.


QUALIFICATIONS

  1. Bachelor's degree.
  2. Proficiency in Microsoft Office suite.
  3. Highly organized with excellent attention to detail.
  4. Experience working or planning events is a plus, but not required.
  5. Experience working in Adobe Illustrator and AutoCAD is a plus, but not required.

Salary : $35,000 - $45,000
