Position Summary
The Benefits Administrator is responsible for managing and administering the company's employee benefits programs. These programs include health, dental, and vision insurance, retirement plans, leave of absence policies, wellness programs, and any other benefits offered by the organization. The Benefits Administrator ensures that benefits are administered effectively, complying with legal requirements and company policies. Additionally, they serve as a point of contact for employees regarding benefits inquiries and help resolve issues related to claims, coverage, and plan eligibility.
Key Responsibilities
- Administer employee benefits programs, including health, dental, and vision insurance, life insurance, disability plans, retirement savings plans (e.g., 401k), and wellness programs.
- Ensure timely enrollment, changes, and terminations in benefit programs.
- Maintain accurate and up-to-date employee benefits records, including plan eligibility and participation.
- Serve as the primary contact for employee questions and concerns regarding benefits.
- Assist employees with benefit-related issues, including claims resolution and understanding plan options.
- Conduct benefits orientations for new hires and manage annual open enrollment processes.
- Ensure benefits programs comply with applicable laws and regulations, such as ERISA, COBRA, HIPAA, and ACA.
- Prepare and file reports required by law, such as 5500 forms for retirement plans.
- Ensure audits related to the company's benefit plans are completed in a timely manner.
- Monitor changes in benefits regulations and implement necessary adjustments to maintain compliance.
- Work with external benefits providers and brokers to manage plan renewals, claims processing, and plan changes.
- Maintain relationships with benefits vendors, brokers, and insurance carriers, ensuring service level agreements are met.
- Review and ensure benefit invoices reflect accurate charges for each month before approval and submitting to accounting for payment.
- Evaluate and recommend changes to benefit plans based on employee feedback, industry trends, and cost-effectiveness.
- Develop and deliver clear and concise benefits communications to employees, including plan changes, enrollment deadlines, and available resources.
- Create, maintain and distribute educational materials that explain the details of benefits programs to employees.
- Conduct regular audits of benefits records and payroll deductions to ensure accuracy.
- Generate reports on benefits utilization, costs, and participation trends.
- Collaborate with accounting to manage benefits budgeting and forecasting.
- Assist in the development and promotion of wellness programs and initiatives to encourage employee engagement and healthy lifestyle choices.
- Organize health screenings, flu shots, and other employee wellness activities.
- Serve as backup for payroll.
- Other duties as assigned.
