About The Role

As an Operations Specialist, you will play a crucial role in supporting the VP of Customer Success by managing ongoing inter-team projects using various third party tools, collaborating with finance and legal teams on contract and invoice processes, and developing educational materials for both internal teams and external clients. You will also lead the project management of large-scale initiatives within the Customer Success (CS) team while performing key executive assistant responsibilities to optimize productivity and communication.

What You'll Do

  • Customer Success & Project Management:
    • Coordinate and facilitate inter-team Customer Success projects/ensuring timelines, deliverables, and communications are effectively managed.
    • Organize large new initiatives from the Customer Success team, ensuring alignment with strategic goals.
    • Collaborate with finance and legal teams to update, send, and organize contracts and invoices, ensuring timely completion and compliance with company policies.
    • Work closely with the VP of Customer Success to create comprehensive internal and external educational materials that enhance product knowledge and customer engagement.
    • Partner with stakeholders across various departments to drive customer success projects, ensuring alignment and smooth execution.
  • Executive Support:
    • Prepare and organize meeting agendas, take detailed minutes, and follow up on action items to ensure completion.
    • Draft and edit correspondence, presentations, and reports on behalf of the VP.
    • Act as a liaison between the VP and internal teams, fostering clear communication and maintaining confidentiality.
    • Assist in planning and coordinating executive events, team meetings, and company-wide initiatives.
    • Support strategic planning sessions by gathering relevant data, preparing presentations, and facilitating discussions.
Qualifications

  • Proven experience in account management, project management, executive support, or customer success roles, preferably in a SaaS or tech company.
  • Proficiency with Atlassian tools (Jira, Confluence, Trello) and Google Docs, Sheets and Slides for project coordination and management.
  • Excellent communication and interpersonal skills with a collaborative approach.
  • High level of organizational skills, with the ability to prioritize and manage multiple tasks simultaneously. Discretion and professionalism in handling sensitive and confidential information.
  • Preferred Qualifications:
    • Experience working with cross-functional teams, including finance, legal, and customer success.
    • Familiarity with educational content creation or customer training initiatives.
    • Previous experience supporting senior executives or C-suite leaders. Lives in the Bay Area
Compensation

  • $60,000 - $70,000 Base
  • 10% Annual Bonus

The Pay Range For This Role Is

60,000 - 70,000 USD per year(Hybrid (Oakland, California, US))
