Endoscopy Surgery Scheduler

including Urgent Care, Family Practice, Women’s Health, Occupational Health, and school-based telehealth.

Job Summary: Fast growing Patient Centered clinic seeking an Endoscopy Surgery Scheduler to be a
key player in our commitment to giving patients the best experience possible, while we provide them the
highest quality patient care in our area.
Responsibilities and Duties:
• Greet visitors as soon as they enter, determine their needs, and direct them to the proper area of the facility.
• Collect information from patients, including insurance information, money for copays and contact information via phone
or in person to put into company’s software system.
• Maintains confidentiality according to HIPAA regulations and EFM policies.
• Adheres strictly to EFM departmental standards, protocols, and policies, including state and federal regulations.
• Communicates effectively and professionally with coworkers, managers, and patients via phone, email, or in person.
• Answers phones diligently and efficiently.
• Responds to or redirects telephone calls to appropriate staff/departments.
• Maintains current knowledge of all insurances, including verifying benefits and eligibility for OHP, DCIPA, and Atrio.
Including PCP assignment.
• Advocates for patients by creating appropriate patient cases, requests, communications, and appointments in Athena.
• Communication with outside provider offices, facilities, and insurances via phone, fax, and computer.
• Keeps an active working knowledge of Athena, engages in continuing education and trainings as offered by manager or company.
• Accurately accounts for credit card transitions posted and balances batch and the end of the night.
• Promotes an environment filled with teamwork, a positive outlook, and constant professionalism.
• Schedules requested surgeries at appropriate place of service.
• Notifies Patients, Physicians, Necessary staff, insurance companies and Surgical place of service
(Mercy Medical Center and Oregon Surgery Center) of all required information IE: surgical forms, prior auth approval/denial,
Pre-op and post-op appointments, and any required medical procedures prior to surgery (EKG for example)
• Submits all required Prior Authorizations for procedures, medication, medical devices
• Maintains current and in depth understanding of insurance requirements for Prior Auth approvals and surgical requirements
• All other duties as assigned by manager.
• Obtain and maintain the proper DHS Consent and surgical forms at all times required. Hard copies and digital copies are required.
• Submit all proper consents and instructions to MMC and OSC in the proper time frame.
• Other duties as assigned
Qualifications and Skills:
• High School Diploma or equivalent
• 2 years’ experience in the medical field
• Ability to communicate effectively, both orally and in writing
• Able to maintain the confidentiality of private information.
• Friendly demeanor and positive attitude.
• Assess patient needs and document accurately
• Communicate with the provider and other nurses and team members to ensure the patients well being
• Maintain a clean, neat and safe work environment for patient and staff according to policy and procedures
• Participate in economical utilization of supplies
• Ensure equipment is maintained in a safe and clean manner
• Minimize non-productive time and fill slow periods with activities that will enable you to prepare to meet the future needs of EFM
Physical Requirements:
• Prolonged periods sitting at a desk and working on a computer.
• The employee is frequently required to walk; use hands and fingers, handle, or feel; and reach forward with hands and arms.
• The employee is occasionally required to sit and stoop, kneel, or crouch.
• Must be able to withstand physical and emotional stress.
• Requires long hours of standing and moving.
• Must be able to lift up to 15 - 35 pounds at times.
